Job Summary
We are seeking an energetic and highly organized Office & Operations Coordinator to support our Landscape and Property Maintenance team. This pivotal role involves managing daily office functions, coordinating operations, and ensuring smooth communication between clients, vendors, and team members. The ideal candidate will thrive in a fast-paced environment, possess excellent multitasking skills, and demonstrate a proactive approach to office management. Your contributions will help us deliver exceptional service while maintaining efficient administrative workflows.
Duties
- Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle all incoming calls with excellent phone etiquette, directing inquiries to appropriate team members or departments
- Manage calendar scheduling for project timelines, client meetings, and team appointments using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records of client information, service requests, and project details while ensuring confidentiality of sensitive data
- Oversee office management tasks including filing, photocopying, proofreading documents, and organizing supplies to ensure a well-functioning workspace
- Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and financial record keeping
- Coordinate with vendors and clients to schedule appointments, follow up on service requests, and ensure timely communication of project updates
Experience
- Proven office experience with strong organizational skills and attention to detail in a professional setting
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar). Getting acclimated with the use of Jobber and the network
- Experience with bookkeeping software like QuickBooks is highly desirable
- Excellent customer service skills with the ability to communicate effectively via phone and email in a bilingual environment (preferred)
- Demonstrated ability to handle confidential information discreetly and professionally
- Prior clerical or administrative experience in a landscape or property maintenance environment is a plus
- Strong typing, proofreading, data entry skills, along with effective time management abilities to prioritize tasks efficiently
