Position Overview
We are looking for a versatile Operations Specialist to be the operational backbone of our
Nashua facility. In this permanent, dual-function role, you will be a primary point of
contact for our customers and sales reps, while also managing daily warehouse logistics
(shipping, receiving, and inventory) and NetSuite ERP transactions. Because our facility is
small, the ideal candidate enjoys wearing multiple hats, is happy to assist with a variety of
daily tasks, and thrives in a “customer service first” environment.
Key Responsibilities (Customer Service & Order Administration)
- Act as the primary point of contact for customers and internal/external sales reps via phone and email.
- Process inbound sales orders and generate, mail, and manage customer invoices.
- Deliver exceptional, responsive service to resolve inquiries and ensure smooth order processing.
Key Responsibilities (Shipping, Receiving & Inventory)
- Manage the full lifecycle of daily shipping and receiving, including gathering orders, packaging, and processing returns. (10-20 Shipments daily)
- Receive inbound shipments and safely lift, move, and stage packages weighing up to 50 pounds.
- Maintain accurate inventory records and physically organize stock to ensure a clean, efficient workspace.
Key Responsibilities (NetSuite / ERP Management)
- Execute daily NetSuite ERP transactions, including Sales Orders, new customer onboarding, invoicing, inventory adjustments, Purchase Order creation, and Return Merchandise Authorizations (RMAs).
- Create and manage saved searches and compile reports within NetSuite to track operational and financial metrics.
Key Responsibilities (Quality Control & Specialized Lab Coordination)
- Coordinate sales rep labs, which involves the safe handling and management of human specimens. Bloodborne pathogen training will be provided.
- Strictly follow all quality protocols outlined within our internal Quality Management System (QMS).
- Assist with other administrative and facility tasks as needed to keep the Nashua office running smoothly.
Skills & Experience
Experience
- 3+ years of combined experience in customer service, administrative operations, and shipping/receiving.
NetSuite
- Hands-on NetSuite experience is strongly preferred. Ideally proficient in creating Sales Orders, onboarding new customer accounts, invoicing, making inventory adjustments, creating Purchase Orders, and handling RMAs.
Customer Focus
- Excellent written and verbal communication skills; comfortable managing email and taking calls.
Physical Capability
- Ability to safely lift up to 50 lbs as a general requirement of the shipping/receiving duties.
Adaptability & Compliance
- Comfortable handling human biological specimens for lab coordination (bloodborne pathogen training provided). Highly detail-oriented, with the ability to adhere strictly to internal QMS protocols.
