Job Summary
We are a boutique CPA firm providing tax, accounting, and advisory services to entrepreneurs and privately held businesses. We are a systems-driven firm committed to excellence, partnership, continuous learning, and passion.
We are seeking an experienced Client Accounting & Operations Specialist to manage client follow-up, accounts payable, accounting workflow, and routine operational matters.
You will coordinate with our CPA, senior tax accountant, administrative staff, and offshore bookkeeping team to keep work moving and deadlines on track. This is not an entry-level position. The ideal candidate can work independently, communicate directly with clients, and take ownership of recurring responsibilities without constant supervision
Responsibilities
- Manage accounts payable and coordinate approved client payments.
- Follow up with clients for missing documents, information, and outstanding questions.
- Coordinate monthly accounting work with the offshore bookkeeping team.
- Review bookkeeping files, reconciliations, and supporting documents for completeness.
- Monitor workflow, deadlines, and open assignments to ensure work stays on track.
- Assist with payroll, sales tax, Forms 1099, and other routine compliance matters.
- Organize tax documents and support tax-season workflow.
- Communicate routine accounting matters directly with clients and escalate issues requiring higher-level review.
- Provide the CPA with a weekly summary of completed work, outstanding items, and decisions needed.
Qualifications
- At least five years of bookkeeping, accounting, or client accounting experience.
- Strong QuickBooks Online and month-end close experience.
- Experience with accounts payable, payroll, and bank reconciliations.
- Strong client communication, organization, and follow-up skills.
- Ability to work independently, manage multiple priorities, and coordinate with a remote team.
- Associate’s or bachelor’s degree in accounting or a related field
- Prior CPA-firm or public-accounting experience preferred.
- Ability to work in our White Plains office for a minimum of 3 days per week.
