What You’ll Do
Project & Pilot Execution (50%):
- Manage the day-to-day execution of individual pilot projects, ensuring they stay on track, on time, and on budget.
- Run the project kickoff process, including the intake of new partner information, coordination of legal routing, and setup of project plans.
- Function as a dedicated project manager, driving the progress of pilots through all appropriate phases of implementation and testing.
- Coordinate internal and external meetings.
- Work closely with various internal stakeholders.
- Develop and manage project plans.
- Prepare and maintain user documentation, process guides and training material.
- Understand business and technical objectives of a project.
- Create project work plans identifying when tasks will be performed and clearly communicate expectations to team members and stakeholders.
Stakeholder Coordination & Support (30%):
- Act as the primary day-to-day point of contact for internal teams involved in pilots, providing on-the-ground support.
- Resolve immediate issues and roadblocks to ensure adherence to new processes and timelines.
- Facilitate communication and collaboration between team members (internal and external) working on transformation projects.
- Route work between all responsible people in all stages of implementation.
- Coordinate testing, end user training, and deployment phases of projects.
Knowledge Management & Documentation (20%):
- Diligently document all project activities, processes, and outcomes.
- Document feedback from training session, discovery sessions and meeting.
- Create and maintain a central repository of learnings, findings, and results from pilots.
- Supply the Director with well-documented information to be used in the creation of case studies and the refinement of operational playbooks.
- Create visualization diagrams for existing and proposed workflows.
- Create project plans and manage the projects.
Helpful Technical Skills
Project Management Software:
- Proficiency in modern project management and workflow tools is essential.
- Experience with platforms like Jira, Asana, Monday.com, or Smartsheet is highly desirable for tracking tasks, managing timelines, and reporting on project status.
Collaboration & Documentation Platforms:
- Experience using collaboration hubs like Microsoft Teams or Slack for daily communication, and documentation platforms like Confluence for creating and maintaining a central knowledge base for project learnings and playbooks.
Data & Reporting Tools:
- While deep analysis isn't the core function, familiarity with data and reporting is crucial.
- Proficiency in Microsoft Excel or Google Sheets for data manipulation and tracking is a must.
- Experience with data visualization tools like Tableau or Google Data Studio would be a significant advantage.
Ad Tech / MarTech Familiarity:
- A foundational understanding of the digital marketing and advertising technology landscape is a strong plus.
- This includes familiarity with concepts like DMPs, DSPs, ad servers, and analytics platforms, as it will enable more effective communication with the teams and partners involved in the pilots.

- Nice-to-have experience: Project management, Monday.com, and systems architecture design.
What You’ve Done
- 3-5+ years of experience in project management, operations, or a similar role, ideally within a media or advertising agency.
- Ideal candidates have a strong background in project management and/or operations.
- Demonstrated ability to manage project details, track progress, and ensure deadlines are met.
- Excellent organizational skills and a keen eye for detail.
- Strong interpersonal and communication skills, with an ability to work effectively as part of a team.
- Bachelor’s degree or equivalent experience.
- Must be proficient and comfortable with various operating systems.
- Must be proficient in Word, Visio, Excel, and PowerPoint.
- Excellent writing and communication skills.

Salary Range
$90,000.00 - $140,000.00
A successful applicant’s actual base salary may vary based on factors such as individual’s skill sets, experience, training, education, licensure/certifications, and qualifications for the role.
