Responsibilities

• Oversee daily office operations, including front desk management, multi-line phone systems, and client greeting procedures.
• Coordinate scheduling for agents, meetings, and open houses using calendar management tools to optimize time and resource allocation.
• Supervise administrative staff, providing training and development opportunities to enhance team performance.
• Manage vendor relationships for office supplies, maintenance services, and technology support to ensure seamless operations.
• Handle bookkeeping and accounting tasks using QuickBooks or other financial software, including invoicing, expense tracking, and payroll processing.
• Maintain confidential client and company information with discretion while ensuring compliance with privacy standards.
• Organize events such as client appreciation gatherings or team-building activities through effective event planning skills.
• Monitor budget adherence by tracking expenses and preparing financial reports to support strategic decision-making.
• Oversee human resources functions including onboarding new employees, managing benefits administration, and maintaining personnel records.
• Ensure all office equipment and systems operate efficiently by coordinating technical support and troubleshooting issues promptly.

Requirements

• Proven experience in office management within a real estate or related industry; supervisory experience preferred.
• Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and office management software.
• Familiarity with accounting software such as QuickBooks along with bookkeeping and financial software knowledge.
• Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
• Exceptional communication skills—both verbal and written—and professional phone etiquette.
• Experience with vendor management, scheduling tools, and calendar management systems.
• Knowledge of human resources practices including payroll processing, employee training, and confidentiality handling.
• Demonstrated ability to manage clerical tasks such as filing, front desk duties, and client communication efficiently.
• Strong problem-solving skills with a focus on customer service excellence and operational efficiency.
