The Recruiting Coordinator is responsible for coordinating candidate movement throughout the hiring process, maintaining accurate records in the applicant tracking system, and ensuring all pre-employment requirements are completed in a timely manner. This role serves as a key point of contact for candidates, recruiters, hiring managers, and HR, ensuring a positive candidate experience and efficient recruitment operations.
Essential Duties/Responsibilities:
(95%) Administrative Support
- Coordinates pre-employment screening activities, including background checks, drug screens, and employment reference processes through ADP.
- Monitors completion of candidate screening requirements and proactively follows up ensuring timely resolution of outstanding items.
- Partners with Recruiters, HR, hiring managers, and candidates to facilitate a smooth hiring and onboarding process.
- Serves as the primary point of contact for candidates regarding pre-employment requirements and onboarding questions.
- Maintain accurate candidate records in the Applicant Tracking System (ATS).
- Tracks and partners with Payroll Team to ensure timely payment of referral and sign-on bonuses
- Coordinates start dates and communicates onboarding timelines with internal stakeholders.
- Supports recruiters with interview scheduling and candidate communications as needed.
- Generates recruiting and onboarding reports and maintains recruiting metrics, including recruiter activity reports.
- Provides exceptional customer service to candidates throughout the hiring process.
- Assists with recruiting events, career fairs, and other Talent Acquisition initiatives.
- Supports continuous process improvement efforts within Recruiting and Human Resources.

- Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
- 1 – 2 years of experience in Recruiting Coordination, Human Resources, Talent Acquisition, or administrative support
- Strong skills using Microsoft Office Suite
- Experience using HR software and HRIS databases, Oracle, Ceridian Dayforce and ADP experience preferred
- General knowledge of functional HR areas such as recruiting, onboarding, employee relations, etc.
- Requires the use of office equipment, such as computers, fax machines, telephones and copiers
- Requires computer related activities for extended periods of time
- Requires the ability to see, hear, speak, write and key
