Position Summary:
The Talent Specialist Assistant provides administrative and operational support to the Talent Acquisition team to ensure efficient, compliant, and timely recruiting processes. This role assists with sourcing coordination, candidate communications, interview scheduling, pre-employment processing, and documentation while supporting high-volume, multi-state hiring operations.
Position Scope:
This position operates within the Human Resources Department and supports Talent Specialists and HR leadership by assisting with day-to-day recruiting activities. The Talent Specialist Assistant does not make final hiring decisions but plays a key role in maintaining candidate flow, data accuracy, and communication throughout the recruitment lifecycle.
Key Responsibilities:
The Talent Specialist Assistant supports the Talent Acquisition function by assisting with sourcing activities, job posting management, and maintaining candidate pipelines to meet ongoing hiring needs. This role serves as a point of contact for candidates by coordinating interview scheduling, communicating next steps, and responding to inquiries in a timely and professional manner. The position provides administrative and compliance support by assisting with pre-employment requirements, onboarding coordination, background checks, and credential verification, while maintaining accurate recruiting records in the Applicant Tracking System (ATS). The Talent Specialist Assistant reviews applications for completeness, routes qualified candidates to Talent Specialists, prepares basic recruiting reports, and supports audit readiness and compliance reviews. The role collaborates closely with Talent Specialists, HR team members, and hiring managers to support hiring timelines, recruitment initiatives, and hiring events, and performs other related duties as assigned.
Regulatory Frameworks:
This role supports recruiting activities in compliance with applicable federal, state, and local employment laws and regulations, including EEO, FLSA, background check requirements, and healthcare-related hiring standards.
Confidentiality:
The Talent Specialist Assistant must maintain strict confidentiality of candidate, employee, and organizational information, including personal data, recruiting outcomes, and internal communications, in accordance with company policy and applicable laws.
Documentation Requirements:
- Accurate and timely entry of recruiting data into ATS and HR systems
- Maintenance of required hiring and compliance documentation
- Proper handling and secure storage of confidential records
Certifications:
Human Resources, recruiting, or administrative certifications are a plus but not required.
Education:
High school diploma or equivalent required.
Associate’s or Bachelor’s degree in Human Resources, Business, or a related field preferred.
Experience:
- Minimum of 1 year of administrative, HR, or recruiting support experience preferred
- Experience in healthcare, home health, IDD, or high-volume environments is a plus
Technical Skills:
- Familiarity with Applicant Tracking Systems (ATS) preferred
- Proficiency in Microsoft Office and related business systems
- Strong data entry, organization, and documentation skills
Languages:
English is required. Bilingual skills are a plus.
Driver License:
A valid driver’s license is required.
Travel Requirement:
Minimal travel may be required for hiring events, job fairs, or team meetings as business needs dictate.
