JOB SUMMARY: The Administrative Assistant provides administrative and operational support to the Client Services team, ensuring customer projects move efficiently from order entry through production and delivery. This role is responsible for coordinating documentation, maintaining customer records, assisting with project tracking, and providing exceptional internal and external customer support.
Responsibilities:
- Provide administrative support to the Client Services team.
- Prepare and process customer orders, work orders, and project documentation.
- Enter and maintain accurate customer and project information in company systems.
- Coordinate project schedules and assist with tracking production timelines.
- Communicate with customers regarding order status, shipping information, and general inquiries.
- Schedule meetings and coordinate customer appointments as needed.
- Maintain customer files, reports, and documentation.
- Prepare quotes, spreadsheets, presentations, and other business documents.
- Assist with inventory requests, shipping documentation, and purchase order processing.
- Collaborate with Production, Scheduling, Estimating, Purchasing, and Sales to ensure projects are completed accurately and on time.
- Monitor shared inboxes and route customer requests to the appropriate team members.
- Support special projects and perform other administrative duties as assigned.
QUALIFICATIONS
- Associate's degree preferred.
- 2+ years of administrative, customer service, or office support experience.
- Strong proficiency in Microsoft Office, especially Outlook, Excel, and Word.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Outstanding written and verbal communication skills.
- Ability to prioritize multiple projects in a fast-paced environment.
- Positive attitude with a strong customer service focus.
