INTRODUCTION

The Program Coordinator supports the administrative operations for the successful implementation of adult programming. Duties include coordinating details related to program content and production, managing departmental program and meeting schedules, communications, payments, budget tracking, and record keeping of departmental statistics as well as coordinating special projects as assigned and teaching studio classes. This position requires excellent attention to detail and the ability to work independently. Acts in a confidential capacity and serves as a point of contact in the absence of department manager. Strong interpersonal and communication skills are essential, as are flexibility and commitment to working as part of a team. This role is directly tied to helping the CMA achieve its strategic mission as a leading venue for artistic and cultural exchange by supporting programs through object-based conversations that highlight multiple perspectives and voices. Programs include onsite lectures, conversations, gallery talks, performances, studio classes, and interactive projects with artists.

BASIC QUALIFICATIONS

• Bachelor's degree (B.A.) in Liberal Arts or related field; or at least two years related experience and/or training; or equivalent combination of education and experience.

• At least two years’ experience in administrative work (e.g., scheduling, project and data management, billing, invoicing, etc.).

• Strong organizational, interpersonal, communication, and time management skills.

• Proficient knowledge of Microsoft Outlook and Office Suite (Word, PowerPoint, Excel, etc.) and the ability to learn new software required. Familiarity with online platforms such as Zoom, Vimeo, and Microsoft Teams.

• Demonstrated experience managing multiple projects simultaneously in an organized and efficient fashion with the ability to work well under pressure.

• Ability to adapt to a variety of situations, experiment, think creatively, and solve problems.

• Well-developed collaborative skills and mindset; the ability to work in dynamic, creative teams plus work independently as needed.

• Ability to receive input and feedback from a variety of sources, and channel feedback into actionable strategy.

• A strong interest in working in the field of arts and culture.

• Ability to instruct artmaking classes in a variety of media.

Responsibilities:

A. Administer all logistical aspects for virtual and onsite adult programs:

• Coordinate and schedule meetings related to program content production
• Create detailed schedules and set deadlines at each stage of program development and production
• Create contracts, travel itineraries, and necessary transportation and hotel arrangements for program presenters
• Coordinate presentation materials for and with program presenters.

B. Schedule programs, manage invoices, assist with budget tracking, and maintain statistics for adult programs.

C. Collaborate with key internal and external partners to facilitate implementation and successful production of collection and exhibition programs.

• Include all programs in the museum’s central public programs calendar and flag potential audience/schedule conflicts
• Request ticketing, checks, volunteers, facilities, media services, and marketing materials.
• Coordinate onsite signage, promotional materials with marketing and design departments
• Ensure timely submission of presentation materials for virtual or onsite delivery
• Work as part of Wed Editor team to maintain and update collection and exhibition content on the museum website
• Coordinate volunteers onsite at programs.
• Assist with day-of tasks for all programs
• Provide instruction for adult studio programs and private programs

D. Coordinates and assists with reporting for grants and endowed lecture programs as needed.

E. Maintains attendance reporting and statistics and assists with budget tracking for all collection and exhibition programs.

COMPENSATION

• Hourly rate: $22.00 / 35 hour work week
