• The salary range for this position is $92,400 to $138,600 annually. Compensation is determined based on a variety of factors, including relevant experience, skills, education, certifications, and geographic location.

Reporting to the Chief of Staff, this role serves as a key partner in supporting the CEO, helping to manage priorities, facilitate communication, and drive organizational effectiveness. The Sr. Executive Assistant provides high-level administrative and coordination support to the CEO, managing calendars, travel, meetings, and departmental projects while maintaining the highest levels of confidentiality and professionalism. Acting as a primary liaison for the CEO's office, this role facilitates smooth communication with internal and external stakeholders, supports event planning, and coordinates team activities. In an organization supported by the Office of the CEO, the Executive Assistant focuses on the day-to-day operational and administrative rhythm of the CEO's office — calendar, travel, meeting logistics, and expense management — while partnering with the Office of the CEO on cross-functional initiatives, strategic priorities, and organization-wide programs. The role also handles presentation preparation, minute-taking, action tracking, and expense management, while building strong relationships and ensuring the CEO is well-informed and supported in daily operations.

Key Responsibilities:

Calendar & Meeting Management

• Provide comprehensive, proactive calendar management for the CEO, prioritizing and resolving scheduling conflicts with sound judgment.
• Prepare, organize, and distribute materials for meetings; take minutes and track action items through to completion.
• Coordinate logistics for Weekly and Monthly Team Meetings, offsites, retreats, and other team-related activities.

Communication & Liaison:

• Serve as a point of contact for internal and external constituencies on matters pertaining to the CEO's office.
• Provide a "gatekeeper" and "gateway" role, creating a smooth bridge for communication between the CEO, their staff, and peers.
• Maintain open communication with the broader executive team and the Executive Assistants who support them.
• Partner with the Office of the CEO to ensure CEO aligned with organization-wide initiatives, cadences, and priorities.
• Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

Travel & Expense Management:

• Manage the CEO's domestic and international travel arrangements, itineraries, and reimbursable expenses.
• Ensure travel plans align with corporate travel policy and proactively resolve itinerary changes.

Projects, Events & Administrative Support

• Complete a broad variety of administrative tasks that enable the CEO to effectively lead the organization, including project planning, presentation production, and partner on tracking of key initiatives.
• Provide event management support for executive-level events, conferences, and company activities as requested.
• Provide hospitality to all guests and help create a welcoming environment for visitors and stakeholders.
• Build long-lasting, trusted relationships with both external and internal stakeholders.
• Perform other projects and duties as assigned for the overall benefit of the organization.

Experience We Love:

• 5-7 years of C-Suite level executive support experience.
• Strong ability to execute work with a diversity, equity, and inclusion lens.
• Expert proficiency with Microsoft Office; adept in using end-user technology solutions overall.

• Exceptional organizational skills and impeccable attention to detail.
• High degree of professionalism in dealing with diverse groups of people, including senior executives, staff, community leaders, clients, and investors.

• Ability to complete a high volume of tasks and projects with little or no guidance.
• Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
• Able to maintain a high level of integrity and discretion in handling confidential information.
• Excellent judgment is essential.
• Ability to switch gears at a moment's notice.
• Ability to travel if requested by the executive leader you support and/or your direct leader.
• Thrives in an intense, do-it-yourself, start-up minded environment.
• Ability to work well within a cross-functional team environment, including close coordination with the Office of the CEO.
• 1–2 years of healthcare experience, preferred.
• Must be inquisitive and demonstrate openness to innovation, including AI, to explore better processes and ways to alleviate friction and improve patient and client experiences.
• This is a remote position; however, candidates must be willing and able to travel to and work onsite at client, temporary, or corporate office locations as business needs require.

Minimum Education:

• Bachelor's Degree or Equivalent Experience

HFMA Certified Revenue Cycle Representative (CRCR) within 9 months of hire
