ROLE AND RESPONSIBILITIES
We are seeking an Administrative Receptionist to join our Site Operations / Administrative Support team. You will be responsible for providing front‑office reception and day‑to‑day administrative support to ensure smooth office operations, which involves coordinating visitors, communications, office resources, and routine administrative processes. Your role plays a crucial part in creating a professional, organized, and welcoming workplace, which will positively impact employee experience, site efficiency, and business continuity. In this position, you will report to the Site Manager or Office Operations Lead.
This position is located in York, PA, with the expectation of regular on‑site presence (Monday-Friday) to support front‑desk operations.
You will join a team of administrative and site support professionals who are dedicated to enabling efficient daily operations and supporting employees, visitors, and business partners. Our team strives to deliver reliable, high‑quality administrative services that allow the broader organization to perform at its best.
We are currently supporting site operations, onboarding activities, office coordination, and local projects, while continuously improving workplace processes. We work closely with internal stakeholders such as employees, hiring managers, finance, facilities, and HR, as well as external partners including vendors, carriers, and service providers. Our team culture is built on collaboration, service mindset, accountability, and professionalism. Team members may be located across various sites and offices.
What you’ll do:
- Serve as the first point of contact by greeting visitors and vendors, managing sign‑ins and badges, and providing reception coverage
- Answer, screen, and route incoming calls and communications in a professional manner
- Receive, sort, and distribute incoming mail and packages; prepare outgoing shipments and coordinate courier pickups
- Schedule and support conference room setup, meetings, and on‑site catering requirements
- Maintain site directories, seating information, onboarding documentation, and routine office records
- Perform general clerical tasks including filing, scanning, copying, and light document preparation
- Order and manage office, safety, and site supplies in accordance with company guidelines
- Assist with routine invoice processing and purchasing administration, including coding, reconciliation, and resolving exceptions
BASIC QUALIFICATIONS
You bring 3+ years of professional experience in a fast‑paced office or administrative environment.
You have an Associate’s degree in Business or equivalent practical experience.
You demonstrate excellent interpersonal skills with a strong customer‑service mindset.
You are highly organized, able to prioritize tasks, and manage multiple deadlines effectively.
You work with accuracy, attention to detail, and appropriate discretion when handling information.
You are proficient in Microsoft 365 (Word, Excel, PowerPoint) and comfortable using Teams and SharePoint.
You are a self‑starter with sound judgment and a proactive approach to problem‑solving.
PREFERRED QUALIFICATIONS
Nice to have: prior experience supporting invoicing, purchasing, or site coordination activities.
