Front Desk & Book Keeping
Location: Los Angeles, CA
Employment Type: Full-Time
Administrator to join our construction company. This position will handle a combination of basic accounting, front desk responsibilities, administrative tasks, and day-to-day office support.
Construction industry experience is strongly preferred. The ideal candidate understands how a construction office operates and is comfortable working with contractors, clients, vendors, invoices, payments, and project paperwork.
Responsibilities
- Answer phones
- Receiving Leads and Answering General Inquiries
- Handle the Weekly/Monthly Calendar Schedule
- Greet clients, and manage general front desk duties
- Handle accounts payable and accounts receivable
- Prepare and track invoices, payments, and receipts
- Enter and maintain financial and company records
- Assist with payroll and employee paperwork
- Process and organize vendor invoices and W-9s
- Maintain project files, contracts, permits, and other documentation
- Communicate with clients, vendors, subcontractors, and employees
- Assist project managers and office staff with administrative tasks
- Schedule appointments, inspections, and meetings
- Track incoming and outgoing correspondence
- Perform general data entry, filing, scanning, and office organization
- Assist Office Manager and other duties as needed
Qualifications
- Previous office administration and/or accounting experience
- Construction industry experience preferred
- Familiarity with construction invoices, subcontractors, vendors, and project paperwork is a plus
- Strong organizational and communication skills
- Proficient with Microsoft Office, Excel, and email
- Accounting software experience preferred
- Ability to multitask and meet deadlines
- Professional, dependable, and detail-oriented
- Bilingual English/Spanish is a plus
Ideal Candidate
We are looking for someone who is organized, dependable, hands-on, and comfortable wearing multiple hats in a busy construction office. Someone with experience working for a general contractor, construction company, engineering firm, or similar business is highly encouraged to apply.
Pay: $22.00 - $32.00 per hour
Expected hours: 40.0 per week
