We are seeking a reliable, dedicated and detail-oriented Accounting Specialist/Office Manager for our close-knit, family-oriented team. This is a key, multifaceted role that will be essential to keeping our business running smoothly and effectively.
Involves a varied mix of responsibilities each day, including bookkeeping/accounting, payroll, bank coordination, general administration of contracts, HR, and most importantly, working closely with the owner on financials. The combination of tasks keeps the work week interesting and engaging while giving you the opportunity to contribute meaningfully across the entire company.
KEY Roles include but are not limited to the following:
· Full-cycle bookkeeping and financial record keeping
o Manage and maintain all GL accounts
o Work with owner and accountant for monthly/yearly financials
o Provide owner with monthly reports
· Accounts payable, receivable and billing
o Maintain and manage all AP vendor accounts and AR customer accounts
o Complete all billing consisting of AIA contract billing as well as POS billing
· Payroll processing and reporting
o Process weekly payroll
o Process all quarterly and annual filings
o Manage yearly audits
o Maintain Prevailing Wage rates for contracts
· Bank reconciliations and monthly financial summaries
o Manage and maintain bank accounts including variance analysis
o Provide monthly reports to owner
· General office management and administrative support
o Provide administrative support to owner
o Order and maintain office supplies
o Complete OSHA Reporting
o Work with front office to maintain POS sales
· Human Resources Management
o Maintain personnel files
o Manage health insurance enrollment and premiums.
· Cash management across multiple accounts
o Process all customer payments
o Process all POS transactions
o Manage contract payments
o Manage credit card payments/reconciliations/refunds
o Work with owner to manage cashflow
· Contract administration and project support
o Provide administrative support to project managers
o Maintain contracts in QuickBooks
QUALIFICATIONS
· AAS in accounting preferred
· 1-3 years Bookkeeping and QuickBooks experience is preferred
· Construction accounting preferred, familiar with AIA Documents
· Strong organizational skills and attention to detail
· Ability to work in multifaceted team environment
· Ability to work proficiently in Word and Excel
· Ability to identify opportunities to improve our processes and procedures
· Positive team orientated attitude
· Notary Public preferred, or willing to acquire at employer expense
COMPENSATION & BENEFITS
· Health/Dental/Vision Insurance, 75% paid by employer
