INTRODUCTION
The Sales Reporting Systems Coordinator position maintains and enhances automation efforts in the Sales, Catering and Revenue database, in order to increase daily productivity for sales, catering, convention and revenue services personnel.
PRIMARY RESPONSIBILITIES:
- Prioritize work on a daily basis.
- Align hours with Sales Team - Ideally hours would be M-F, 7am to 4pm
- Be pleasant and helpful with internal and external clients.
- Maintains professional appearance at all times by dressing business casual
- Adhere to Resort grooming standards
- Adhere to Resort Forbes and Quality standards
- Input account, booking and profile information into Delphi system
- Enter Room Blocks in GRC and Delphi. Verify that payment is on file.
- Weekly Block Cut-Off Report
- Ensure pick-up and update Group contact or Sales Manager
- Weekly: enter all group pick-up and actual to send out group pick-up reports, along with business on the books.
- Execute administrative needs for special projects and events.
- Compiles and types statistical reports.
- Assists other office staff during periods of absence and down time
- Assure reports are distributed on timely basis adhering to office protocol.
- Work with reservations team to process data on timely basis
- Run/Build Reports out of Report Builder in Delphi
- Run commissionable group report as needed
- Assure system is updated and reflects accurate data at all times
- Update and manage FastPay
- This is not a remote role
- Note: Other duties as assigned by Director of Sales or Executive Committee
RELATIONSHIPS:
Internal: Resort Staff: Provides clerical/administrative support, delivers messages and greets clients.
External: Clients, Visitors: Greets and ascertains nature of business and leads them to proper employee or banquet room.
QUALIFICATIONS
EDUCATION/EXPERIENCE: High School diploma or equivalent. Three to six months experience and/or training is preferred. Special consideration will be given to those who exhibit exemplary performance.

- Applicant must be very computer savvy and know how to use Microsoft Excel, Publisher and Word. Familiarity with hotel reservation system and Delphi is a plus. This applicant must be detail orientated, professional, and able to multi-task. Respect guidelines of confidentiality and code of ethics in all Company areas. Represent El Conquistador Tucson, A Hilton Resort in a professional manner at all times.
