The Project Coordinator (Band 6) provides high-quality organizational, communication, and administrative support to project managers, site leaders, and visiting clients. This role supports project execution, prepares leadership-ready communication materials, coordinates client and new-hire experiences, and partners with the site administrative team to ensure smooth day-to-day operations. This position is ideal for someone looking to expand skills in project support, stakeholder communication, and site engagement.
What will you do?
Project & Communication Support
- Create, update, and refine PowerPoint presentations, project summaries, and leadership-ready slide decks.
- Draft, edit, and format internal and external communications, including meeting recaps, project updates, and client-facing messages.
- Assist Project Managers with daily project activities including document routing, approvals, invoice coordination, and maintaining project files.
- Support change-of-scope documentation, internal form creation, and other administrative project tasks.
- Coordinate cross-functional follow-ups to help maintain project timelines and key milestones.
Client & Senior Leadership Hosting
- Serve as a primary logistics contact for client and senior leadership visits, ensuring a professional, seamless experience.
- Manage visit schedules, meeting room preparation, catering, office assignments, printing needs, and onsite support during tours or discussions.
- Maintain the site’s client visit calendar, including Sales visits, Business Review Meetings, Project Management meetings, and batch observations.
New Hire & Manager Coordination
- Partner with hiring managers and site HR to support new-hire onboarding activities, including workspace readiness, schedule coordination, and preparation of welcome materials.
- Support the development and delivery of onboarding presentations and day-one logistics.
Administrative & Site Support
- Work collaboratively with the site administrative assistant to manage office operations, including supplies, refreshments, and visitor materials.
- Serve as the primary contact for departmental shipping requests and assist with invoice processing.
- Provide general scheduling, meeting coordination, and document preparation support for project managers and site leadership.
Education
- Bachelor’s degree required
- Equivalent combinations of education, training, and relevant experience may be considered
Experience
- Typically requires a bachelor’s degree and a minimum of 2 years of related experience
- Experience supporting cross-functional teams, coordinating projects, or providing administrative/communication support preferred
- Experience in a fast-paced manufacturing, pharmaceutical, or client-facing environment is a plus

- Strong communication skills, including the ability to prepare polished slide decks and written materials for internal and external audiences.
