SUMMARY
The Senior Manager, Business Operations coordinates the functions of the department to ensure efficient workflow and productivity, and manages the entire range of ancillary and service functions required to sustain operations in the designated area across the University. Furthermore, the Senior Manager supervises the daily operations and performance of the administrative staff to ensure the department goals are met. Moreover, the Senior Manager will be responsible for conducting analyses of performance trends, environmental factors, and project results, to support the Managed Care and Business Development department in identifying new opportunities, sizing the market, setting quantitative goals, and evaluating projects against metrics.
JOB DUTIES & RESPONSIBILITIES:
- Recruits, oversees, evaluates, trains and monitors department staff.
- Manages customer service, accounts payable, purchasing, and office operations.
- Assists in the preparation of department budget, ensures compliance with applicable restrictions, and makes recommendations for cost reduction.
- Provides recommendations and ideas regarding strategy and operational initiatives to senior managing staff.
- Ensures department compliance with all applicable policies and regulations.
- Prepares department performance reports, and creates/develops business strategies and supervises critical path activities to troubleshoot or escalate problems.
- Acts as liaison to department and external sources as needed to ensure business operations run smoothly.
Department Specific Functions
Operations
- Provide recommendations and ideas regarding operational initiatives to the AVP to ensure efficient work flow and productivity
- Initiate and process the documentation required for all departmental onboarding, ensuring adherence to the University of Miami’s policies and procedures
- Monitor budget and identify recommendations for cost reduction
- Schedule meetings and maintain calendar for AVP
- Answer phone calls and take messages for AVP
- Input and process expenses and mileage for reimbursement for AVP
- Ownership and use of departmental Travel Card including inputting of charges in Workday and maintenance of records
- Process all security badge requests and access to office/conference rooms/kitchen
- Notify Facilities/IT of any damages, necessary repairs, or need for equipment
- Collaborate with Purchasing if replacement equipment is required such as new monitor, PC, etc.
- Payment and processing of invoices related to department, i.e., Meditract, Experian, etc.
- Order clerical and kitchen supplies for office
- Maintenance of equipment such as copiers/printers/faxes/computers
- Collaboration with space planning should employees need to be relocated
- Process time-off requests and other tasks as delegated in Workday for AVP
- Management of projects as needed and requested by AVP

- Manages the development of strategic data analysis through integration of data from a variety of internal and external information sources.
- Provides information and recommendations to support strategic decision-making and growth.
- Provides data requests, builds project plans, and facilitates cooperative analysis with information systems, financial, delivery systems and other key support departments to provide meaningful analytical information to assess and improve organizational performance.
- Provides consultation on how to collect and transform raw data into meaningful information.
- Serves as a project leader in the implementation of roadmap, and other strategic information systems that contribute to managed care growth and strategic planning by integrating key data and information, identifying opportunities, prioritizing activities and targets, and assessing impact of strategic initiatives.
- Designs, conducts formal and informal presentations, and educational sessions on managed care, marketing, strategy and other analyses or projects as requested.
- Keeps abreast of current healthcare issues and information technology by attending appropriate meetings and reviewing current literature.
- Performs other duties as assigned.

- Ability to develop and present data and information to diverse audiences.
- Excellent interpersonal skills with ability to serve as a productive member of team and/or task force.
- Strong grasp of the business of health care and financial principles and strong problem-solving skills.

Bachelor’s Degree or 6 years of academic healthcare experience required.
Knowledge of clinical research programmatic issues such as the collection and analyses of metrics, staffing, and process improvement.
Proficiency with Microsoft Word, Microsoft Excel and Microsoft Outlook.
Must possess excellent communication skills.
