Job Summary
We are seeking a detail-oriented and organized Staff Accountant to join our accounting team. The ideal candidate will have hands-on experience in general accounting, accounts payable and receivable, reconciliations, expense processing, month-end close, and sales tax compliance. This position will work closely with the Accounting Manager and will be responsible for ensuring accurate and timely processing of financial transactions, maintaining supporting documentation, and assisting with month-end, audit, and other accounting activities.
Key Responsibilities
- Process vendor invoices and accurately post transactions to the appropriate General Ledger (GL) accounts.
- Create and process Purchase Orders (POs) and ensure proper documentation and approvals.
- Match receiving slips with purchase orders and vendor invoices; investigate, research, and resolve invoice discrepancies.
- Process employee expense reports in a timely manner in accordance with company policies and procedures. •
Post employee expenses to the appropriate GL accounts and prepare month-end travel and expense accruals.
- Request and maintain W-9 forms for new vendor setups and assist with 1099 reporting.
- Post customer receipt entries in the Accounts Receivable (AR) module and prepare bank deposits. • Initiate, process, and track domestic and international bank wire transfers.
- Prepare weekly check runs and ensure timely payment of approved invoices. • Print checks, complete Citibank Positive Pay uploads, maintain check records, and handle filing and mailing.
- Process and reconcile corporate credit card statements and maintain appropriate supporting documentation.
- Maintain and update AmeriFlex HRA/FSA worksheets and related records.
- Assist with accounting and administrative activities related to company insurance and sales tax matters.
- Maintain and update shipping-related files and supporting documentation.
- Prepare and maintain Profit & Loss (P&L) expense analysis worksheets as part of the month-end close process.
- Prepare and file monthly and quarterly Sales Tax Returns and ensure compliance with applicable filing requirements.
- Assist with internal and external audit requests, including preparation of schedules and supporting documentation.
- Assist the Accounting Manager with balance sheet reconciliations and other accounting matters as needed.
- Participate in month-end and year-end close activities.
- Support special projects and perform other accounting-related duties as assigned.
Required Qualifications
- Bachelor’s degree in accounting, Finance, or a related field.
- 2–5 years of hands-on experience in general accounting.
- Strong knowledge of accounting principles, practices, and procedures.
- Experience with Accounts Payable, Accounts Receivable, General Ledger, reconciliations, and month-end close activities.
- Strong analytical and problem-solving skills, with the ability to investigate discrepancies and identify appropriate resolutions.
- Excellent attention to detail and accuracy.
