Beth Israel Deaconess Milton is seeking a Medical Office Coordinator – Clinical to work in our Community Physician Association (CPA) Medical Office. The Medical Office Coordinator is responsible for providing clinical and administrative support to the Family Medicine physician practice (Dr. Kelly) and fulfilling the responsibilities to the CPA office.
PRIMARY RESPONSIBLITIES:
- Displays courtesy and professionalism at all times while providing timely, helpful service to all patients, visitors, physicians and other associates.
- Prepares treatment rooms for examination of patients.
- Interview and determine patient’s health needs and chief complaint for appropriate treatment.
- Measures vital sign, such as pulse rate, temperature, blood pressure, weight, and height and records information in patient’s chart.
- Drapes patient with covering and positions instruments and equipment if necessary. Assists physician in exam if needed.
- Inspect and maintain patient records to insure completeness.
- Administers injections or treatments (as allowed for medical assistants), under the direction of a physician and performs routine laboratory tests.
- Operates and performs routine diagnostic tests in office, such as, electrocardiograph or nebulizer. Calls medical facility or specialists to schedule patients for off site testing.
- Triage patient telephone calls for appropriated treatment when requested. Return telephone calls to patients or calls relating to patients for prescription, treatment or diagnostic data when requested.
- Process all prescription requests from pharmacies, patients, and physicians.
- Inventories and orders medical supplies, vaccines and other patient related materials.
- Sterilize instruments and maintain diagnostic equipment.
- Complete documentation and tracking for all clinical, laboratory and pharmaceutical areas.
- Receive, organize, and track the handling and distribution of medication samples.
- Maintain general appearance, cleanliness and stock supplies in all examination rooms and lab/drawing stations.
- Assists in scheduling of patients and performs secretarial tasks as needed.
- Assists in data entry of patient related information in practice management software to maintain office and patient records.
- Assist in creating and updating office policies.
OTHER RESPONSIBILITIES:
- Attend mandatory in-service programs on Universal precautions, Disaster Plan, Electrical and Fire Safety and Hazardous Communications. Comply with all hospital and department safety practices.
- Reports to work consistently and promptly. Provides proper advance notice of absence or tardiness.
- Perform other duties as required or assigned.
INDEPENDENT ACTION:
Under the direction of the Manager, Physician Services, accomplish assigned duties within scope of established department and Community Physicians Associates policies and practices. Reports to physician regarding medical questions and direction; reports to manager regarding business matters.

REASONING/COMMUNICATION SKILLS
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization may exist. Ability to interpret a variety of instructions furnished in written, oral, diagram and schedule form. Must be able to reasonably make appropriate judgment in communications and actions with patients, physicians, and other associates. Responsible for matters of a sensitive nature requiring a high level of confidentiality.
BASIC KNOWLEDGE/SKILLS/APTITUDE AND EXPERIENCE:
- Certified graduate of a medical assistant course or practical nurse program. Previous clinical experience required. Knowledge of anatomy, physiology and terminology also required.
- Must have a strong work ethic and the ability to be flexible in schedule. Must have a broad knowledge of the workings of both Milton Hospital and the Community Physicians Associates to perform duties in an accurate and timely fashion. Must have a strong knowledge of medical terminology, health insurance programs and a variety of computer software including GE/Centricity Practice Management and Pocket Script Software, MediTech, Microsoft Word, Excel and medical office billing programs.
PHYSICAL/MENTAL/EMOTIONAL:
Must be able to sit, stand, bend, and move throughout the shift. Must be able to speak the English language in an understandable manner and convey information effectively through written and oral communications. Must be able to cope with the mental and emotional demands of the position; handle emergency/problematic situations and issues of a confidential nature. Must possess sight/hearing senses and manual dexterity, or use prosthetic that will enable these senses and/or bodily functions to function adequately so that the requirements of this position can be fully met. Must function independently, have flexibility, personal integrity, and the ability to work effectively and professionally with all personnel and outside clients/agencies. Must be in good general health and demonstrate emotional and mental stability. Must be able to operate office, business and accounting machines data processors, word processors, etc. May be required to lift and move small equipment and supplies.
Pay Range:
$21.00 – $28.26
The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law. Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable to the position and in accordance with the law.
