Position Summary

The Front End Operations Supervisor is responsible for leading a team of approximately 20 employees and overseeing the day-to-day operations of mail intake, document processing, and workflow management. This role provides direct supervision, coaching, and performance support through regular one-on-one meetings, team communications, and operational oversight to ensure service levels and business objectives are met.

Key responsibilities include managing the daily workload associated with in-house printing, returned mail processing, document scanning, check handling, and mail indexing activities. The Supervisor is responsible for monitoring work queues, balancing resources, addressing operational issues, and ensuring timely and accurate processing of all incoming and outgoing work.

This person serves as a primary liaison with the mailroom vendor, coordinating the receipt, processing, and distribution of incoming mail. The Supervisor partners with internal and external stakeholders to identify process improvement opportunities, resolve service issues, and ensure operational efficiency across all front-end mail operations.

Additionally, this role supports departmental initiatives and special projects, assists with process documentation and workflow enhancements, and contributes to the implementation of operational improvements designed to increase productivity, quality, and customer service.

Key Responsibilities

• Provide direct leadership and supervision for approximately 20 team members.
• Conduct monthly one-on-one meetings, coaching sessions, and performance discussions.
• Manage daily workloads and staffing for printing, returned mail, scanning, check processing, and indexing functions.
• Monitor operational performance, productivity, quality, and service-level expectations.
• Serve as the primary point of contact for the mailroom vendor to ensure timely and accurate processing of incoming mail.
• Coordinate workload prioritization and resource allocation to meet business demands.
• Identify, recommend, and implement process improvements to enhance operational efficiency.
• Support audits, reporting, compliance requirements, and departmental projects.
• Collaborate with cross-functional teams to resolve operational issues and support organizational objectives.
• Perform other duties as assigned.

Required Qualifications

• 3+ years of experience in leadership, supervisory, or team leadership in an operations, mailroom, document management, or production environment.
• 3+ years of experience managing employee performance, coaching, and development, including conducting regular one-on-one meetings and performance discussions, as well as working with external vendors and managing service-related relationships.
• Demonstrated proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
• Willingness to travel up to 10% of the time to East Lansing, MI or Plymouth, MN.

Preferred Qualifications

• Resides in East Lansing, MI or Plymouth, MN.
• Experience in healthcare operations, claims administration, document management, mail processing, or imaging environments.
• Experience with mailroom operations, returned mail processing, scanning, indexing, print services, or document workflow systems.
• Knowledge of Kofax, imaging systems, document management systems, or related workflow technologies.
• Experience supporting audits, compliance requirements, and operational reporting.
• Lean, Six Sigma, or process improvement experience.
• Strong organizational and time management skills with the ability to prioritize multiple workloads and competing deadlines.
• Excellent verbal and written communication skills with the ability to effectively communicate with employees, vendors, and business partners.
• Ability to analyze workflow issues, identify process improvement opportunities, and implement operational solutions.
• Ability to maintain a high level of accuracy, confidentiality, and attention to detail.
• Strong problem-solving and decision-making skills.
• Demonstrated ability to work collaboratively across departments and support cross-functional initiatives, managing various priorities in a fast-paced operational environment.
• Bachelor's degree in Business, Healthcare Administration, Operations Management, or a related field.

Pay Range

The typical pay range for this role is:

$43,888.00 - $102,081.00

This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
