What's in it for you:
Trane has a new exciting opportunity to join our organization as a Service Project Administrator in Valley View, OH. Under direct supervision, this position is responsible for routine service job documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each service job. This position is required to closely interact with Service Managers, Service Technicians, Service Account Managers, and Customers.
What you will do:
- Coordinates with cross-functional team members to ensure the accurate and timely recording of project costs, including materials, timesheets, labor hour allocation, and daily reports; initiates invoicing for completed work; and prepares payroll documentation while managing technician applied and unapplied time.
- Responsible for general administrative functions to include project costs are identified for processing service billings.
- Responsible for generating, interpreting, and printing various assigned reports.
- Monitors account receivables invoicing status, reviews, investigates, and helps resolve billing disputes in coordination with internal teams and customers.
- Communicates effectively with other team members.
- Cross train for coverage of the service project administrators when staffing needs arise.
- Schedule and participate in internal project team meetings to ensure accurate transfer of information.
- Validates cost to date and reconciles project data in business system.
- Manages invoicing process and coordinate format, layout, attachments, and mailing with Shared Financial Services.
- Reviews billing backlog and coordinates/communicates with Service Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
What you will bring:
- Comprehensive understanding of construction project administration and ability to read and comprehend construction schedules.
- High School Diploma or GED and up to five (5) years of related experience and/or training; or equivalent combination of education and experience.
- Must have strong administrative skills, with exceptional organizational skills and high attention to detail.
- Excellent communication skills, proactive approach with willingness to work independently as well as part of a team.
- Demonstrated ability to perform tasks such as problem solving, decision making, learning, rational thinking, and exercising good judgment.
- Proven experience prioritizing tasks in order to meet tight deadlines within a fast-paced environment.
- Previous experience with financial systems and basic accounting, including accounts receivable and accounts payable.
- Construction law and regulation knowledge is an asset.
- Familiarity with the operation of HVAC Systems preferred not required.
- Flexibility to work overtime/weekends, as required.
- Highly competent with Microsoft Office suite: Outlook, Excel, Word, and Teams, in addition to strong computer application and document management skills. Construction management software experience helpful.

$63,111.66 - $87,639.99
