Job Description
Responsibilities:
Accounts Payable (A/P)
- Process vendor invoices and prepare payments for approval.
- Ensure timely payment of bills and accurately categorize expenses.
- Assist with managing A/P aging reports and maintain good relationships with vendors.
- Maintain and update vendor information in the accounting system.
Bank/Credit Card Reconciliations
- Reconcile bank& credit card statements to company records on a monthly basis.
- Ensure that all transactions are accurately recorded and investigate discrepancies.
Financial Reporting Assistance
- Assist in preparing basic financial reports, such as profit & loss statements and balance sheets.
- Support CFO & Senior Accountants in month-end closing procedures.
- Help generate and distribute routine/weekly financial reports for internal use.
Expense Tracking and Management
- Monitor company expenses and ensure that receipts and documentation are properly collected.
- Help with tracking and coding expenses to the appropriate accounts.
- Assist in the preparation of expense reports for management review.
Document Filing and Record-Keeping
- Maintain organized and up-to-date financial records, ensuring compliance with company policies.
- Assist with filing financial documentation and ensure that all records are secure & easily accessible for the team.
Audit Preparation Support
- Assist in gathering necessary documents for internal and external audits.
- Help prepare reconciliations and reports as needed for audit processes.
Administrative Support
- Assist the finance team with general administrative tasks, such as data entry and preparing spreadsheets.
- Support the preparation of financial reports and ensure all necessary data is available for senior accountants.
- Help maintain and update financial data in the company’s accounting software system.
Skills & Qualifications
- Bachelor’s degree in Accounting, Finance, or related field (or in progress).
- Experience with ERP systems
- Proficiency in NetSuite or similar cloud-based accounting software.
- Strong attention to detail with good organizational skills.
- Ability to work with a high degree of accuracy and efficiency.
- Basic understanding of accounting principles (GAAP).
- Strong communication skills and a team-oriented approach.
- Ability to adapt to new software and technologies quickly.
