JOB DESCRIPTION:
45% NCATS/CTSA Engagement and Project Administration
- Work with department managers, program managers, CTSI Management team to compile data and manage the proposal submission process to ensure timely submission of all required materials. Develops and maintains and executes on the contents of an annual NCATS and CTSA calendar. This calendar will collate and manage all related proposal submission deadlines, renewal deadlines, RPPR and programmatic reporting deadlines, and monthly activities related to the CTSA award, CTSA Hub activities, and NCATS Program Officer engagements.
- Coordinate and follow-ups on the progress of submitted proposals, progress reports, administrative submissions, and all other administrative activities related to UF’s CTSA Hub participation.
- Develops an annual grant strategy in coordination with the CTSI Director and Co-Director, COO and Director of F&A/Research Admin, with feedback from the CTSI Governance Board, Executive Committee and any other CTSI stakeholder facing committee.
- Manage the annual project management timeline of each individual award, in particular all NCATS funding to UF (currently UL1, KL2, TL1) and support other NCATS funded activities to UF and FSU.
- Collate progress reports into briefing books and materials to be shared with EAC and other internal governance committees. Prepare, review, and finalize visual materials and presentations for CTSI leadership to align strategy and vision across multiple audiences.
20% Pilot project Management
- Coordinates the management of all RFA’s for CTSI pilots including NIH pilots. Incumbent will be responsible for developing the RFA timeline and announcement, collecting applications and completing the initial triage operation to determine if applications are submitted and conform to RFA requirements.
- Responsible for coordination of the scientific review process and overall award process.
- Manages the NIH prior approval process to ensure that all NIH funded pilots and K scholars applications conform to NIH guidelines and are properly prepared for submission.
- Works with the appropriate entities in regulatory to ensure that questions in submission process are submitted correctly.
- Interacts with the individual pilot coordinators to ensure that all documentation is submitted correctly and coordinates the RFA timeline in conjunction with the CTSA funding periods.
- Coordinates with the appropriate CTSI administration regarding Scientific Reviews.
15% Management and Oversight Management and Oversight of the Translational Workforce Development MD/PhD (TWD-KL and TL) Administration Team.
- Supervise a team consisting of a Medical Science Training Program (MSTP) Admin Support member, a MSTP Coordinator, a TL1 Training and HSC Career Development Program Manager, and the TWD Program Manager.
- Day-to-day oversight to include operations of the UF MSTP across the eight years of a Scholar’s curriculum leading to fulfillment of requirements for MD degree, PhD degree and MSTP goals and milestones; identifying, recruiting, matriculating, evaluating, and following after graduation prospective and current UF MD=PhD Scholars in the UF MSTP; management and coordination of the CTSI TL1 Training and HSC Career & Professional Development Programs; and management and coordination of the CTSI Workforce Development Program (TWD).
10% Special Projects
- Provides ad-hoc strategy, writing and editing support for CTSI-led special projects, including major grant proposals, best-practice publications, statewide collaborations and national research initiatives.
- Maintains documentation and record-keeping processes in compliance with UF, NIH and other regulatory agency standards.
5% Voucher Management
- Coordinates the CTSI voucher process reviewing submitted requests and acknowledging approvals to the appropriate entities then coordinates funding with the Grants Specialists.
REQUIRED QUALIFICATIONS:
Bachelor’s degree and four years of experience in grant and contract administration; or an equivalent combination of education and experience.
PREFERRED:
- Proficient use of Microsoft Office/Outlook/OneNote software
- Prior experience working in a clinical research environment Knowledgeable regarding IRB procedures, forms and approval process
- Knowledgeable regarding OnCore clinical trial management systems
- Knowledge of basic human subject protection principles and good clinical practice (GCP) guidelines for clinical research
- Experience coordinating clinical research studies
- Ability to collect, collate, analyze, evaluate and report data from clinical research studies
- Ability to plan, organize and coordinate projects
- Ability to work effectively and independently
- Ability to communicate effectively, both verbally and in writing
