Position Description:
Our client is seeking a forward-thinking publication professional to support the quality and integrity of content published within a globally recognized technical research digital library. As the volume of content and use of AI-generated content and external authoring tools continues to grow, maintaining publication integrity and operational efficiency throughout the end-to-end review process has become increasingly critical. This role offers a unique opportunity to contribute not only to publication quality operations but to assist in the modernization and automation of workflows that support the future of scholarly publishing.
Responsibilities:
Publication Quality & Conference Review Support
- Provide support for research and information requests, prepare correspondence, assist in records management, support internal/external committees, and schedule activities in support of the conferences and related events.
- Assist with the preparation, packaging, movement, and tracking of digital files for internal and external review.
- Coordinate with conference organizers, volunteer organizations, internal stakeholders, and external vendors to ensure timely and accurate processing of proceedings and related materials.
- Monitor review workflows, assist in the review of and processing of content, helping maintain the integrity and accuracy of all materials published.
- Assist in identifying and escalating quality or compliance concerns.
Operational Workflow & Process Improvement
- Provide guidance to existing team members consisting of best practices in publication management, available resources, and use of existing tools.
- Contribute to workflow modernization initiatives focused on digitization, automation, and improving operational efficiency.
- Help make operational data and reporting more accessible, organized, and actionable for stakeholders.
- Participate in continuous improvement efforts related to publication integrity and conference quality operations.
Systems & Vendor Coordination
- Work with external vendors and internal operations to track operational requests, manage workload, and draft responses or escalate issues as appropriate.
- Support ongoing improvements to quality-control procedures and documentation.
- Maintain accurate documentation, reporting, and status tracking across multiple content workstreams.
Qualifications
- 3+ years' work experience supporting publications in various review cycles and a customer-focused business environment.
- Demonstrated knowledge and skill in the following areas:
- Project and task management, event planning, and scheduling, coordinating, developing communication plans
- Analysis and management of administrative processes and quality efforts.
- Strong organizational skills with keen attention to detail. Comfortable managing multiple priorities in a fast-paced, process-driven environment.
- Effective communication skills, both written and verbal, including the ability to present information clearly and professionally.
- Ability to write clear and effective responses to correspondence.
- Ability to work collaboratively across multiple stakeholder groups including leadership, vendors, conference organizers, and volunteers.
- Technologically proficient with a proactive mindset for problem-solving and providing business solution recommendations.
- Proficiency with Microsoft Office Suite, SmartSheets, Google Docs, ZenDesk, and database systems.
Education & Certifications:
- Bachelor's degree in a relevant field.
