Magnit Direct Sourcing on behalf of Toyota is currently hiring an Executive Assistant for a temporary assignment in Plano, Texas.
This is a 3-month contract. The pay range for this role is between $35.00 - $45.00/Hr. Benefits: Medical, Dental, Vision, 401K.

ROLE AND RESPONSIBILITIES
Toyota’s Enterprise Strategy & Solutions Department is looking for a passionate and highly-motivated Executive Assistant to a Senior Vice President.
The primary responsibility of this role is to provide high-level administrative support to the Senior Vice President responsible for TMNA Enterprise Strategy & Solutions, TMNA Enterprise Integrity, and TMC Global Compliance & Risk activities including completing a variety of tasks to ensure the efficient operations across all teams. The Executive Assistant must be capable of working in a fast-paced, dynamic environment with time-sensitive materials, always maintain strict confidentiality, and use discretion and diplomacy in the performance of daily activities.
What You'll Be Doing:
- Provide high-level administrative support to three senior executive leaders, including a Senior Vice President, Vice President, and Executive Japan Staff, ensuring efficient management of priorities, schedules, and business operations.
- Assist the Chief of Staff by supporting strategic initiatives, special projects, executive communications, leadership meetings, and organizational activities.
- Manage complex executive calendars across multiple time zones, prioritizing competing demands, coordinating meetings, and ensuring optimal use of leadership time.
- Prepare, organize, maintain, and safeguard confidential correspondence, presentations, reports, records, and electronic files in accordance with company policies and document retention requirements.
- Coordinate complex domestic and international travel arrangements, including transportation, accommodations, itineraries, visas (as applicable), meeting logistics, agendas, and executive briefing materials.
- Plan and execute executive meetings, leadership offsites, workshops, and business events, including venue coordination, catering, technology requirements, and attendee communications.
- Process and reconcile expense reports through the company expense management system while ensuring compliance with corporate policies and financial controls.
- Anticipate executive needs, identify potential scheduling or operational conflicts, and implement solutions to ensure seamless support for business priorities.
- Exercise sound judgment, discretion, and confidentiality when handling sensitive business information, executive communications, and organizational matters.
BASIC QUALIFICATIONS
- 5+ years of recent executive administrative support experience for a large company or global brand with international operations.
- Experience with executive travel arrangements (domestic and international) and calendar management.
- Strong knowledge of MS Office Suite; Outlook, Word, PowerPoint, and Excel.
- Excellent clerical skills with attention to detail and ability to work independently and proactively.
- Ability to work collaboratively and cooperatively with others in a team-oriented environment.
- Exceptional customer service skills in person, over the phone, and via email.
- Ability to quickly learn, handle numerous priorities and perform the Job Responsibilities to meet, and preferably exceed, the turnaround requirements of executive team and the strict deadlines for the work with minimal supervision.
- Excellent time management and organization skills in a fast-paced and dynamic environment.
- Maintain the professional business image and demonstrate a high standard of professionalism, demeanor, and emotional intelligence.
- Fluent in English, both verbally and in writing (excel in the areas of spelling, grammar, and punctuation).
- High school diploma or equivalent combination of education and work experience; Bachelor’s Degree preferred.
PREFERRED QUALIFICATIONS
- Japanese speaking and writing an added plus.
