ROLE AND RESPONSIBILITIES
The HOA Compliance role supports compliance with homeowners association (HOA), community association, and property-specific requirements for residential rental properties. This position manages HOA registrations, lease and tenant approval requirements, community access documentation, architectural or exterior approval requests, violations, renewals, payments, and related documentation.
The role works directly with HOA management companies, community associations, internal teams, residents, vendors, and Accounts Payable to ensure properties remain compliant, HOA requirements are completed on time, violations are properly coordinated, and property records are accurately maintained in company systems.
Key Responsibilities
- Research HOA, community association, and property-specific requirements for rental registrations, lease approvals, tenant approvals, move-in requirements, community access, exterior changes, and compliance documentation.
- Complete and submit HOA forms, lease applications, tenant information forms, architectural review requests, renewal applications, and supporting documentation.
- Communicate with HOA boards, management companies, community association contacts, and internal stakeholders to confirm requirements, follow up on submissions, and resolve pending items.
- Coordinate HOA inspections, violation resolutions, community access requirements, and resident or vendor follow-up with internal teams and stakeholders.
- Maintain accurate HOA, community, approval, violation, expiration, and property information in Yardi and other company systems.
- Track deadlines and prioritize urgent items such as move-ins, lease approvals, violations, fines, expired registrations, and upcoming renewals.
- Process or request payments for HOA application fees, registration fees, violation fines, access fees, and related community compliance costs.
- Upload and maintain proof of HOA approvals, community confirmations, violation notices, payment receipts, governing documents, and other compliance records.
- Provide timely updates to internal teams and escalate HOA compliance risks when needed.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent required.
- Experience in property management, compliance, HOA processes, administrative support, or real estate operations preferred.
- Strong attention to detail and ability to manage deadlines across multiple communities and associations.
- Strong written and verbal communication skills.
- Ability to research requirements, follow procedures, and maintain accurate records.
- Proficiency with Microsoft Office, especially Excel, Outlook, and Teams.
PREFERRED QUALIFICATIONS
- Associate or bachelor degree preferred.
- Experience with Yardi, Salesforce, Jira, SAP Concur, or similar systems preferred.
- Familiarity with HOA registrations, lease approvals, tenant approvals, community guidelines, CC&Rs, violation notices, fines, architectural review requests, or access requirements.
- Experience communicating with HOA management companies, community association contacts, residents, vendors, or internal operations teams.
