About the Position

We are seeking an exceptional Senior Bilingual Executive Assistant / Business Operations Coordinator to work directly with the business owner across multiple restaurant operations, new business projects, marketing initiatives, vendor relationships, and day-to-day executive matters.

This is not an entry-level administrative assistant position.

We are looking for a highly capable, experienced professional who can take ownership of assignments from beginning to end with minimal supervision. The ideal candidate is organized, resourceful, creative, business-minded, and exceptionally strong at execution and follow-through.

You should be comfortable receiving a goal rather than a detailed set of instructions — identifying what needs to be done, finding the appropriate resources, coordinating with the necessary people, solving problems along the way, and delivering results.

Key Responsibilities

• Work directly with the owner to manage and execute business priorities
• Coordinate projects across multiple restaurant locations and new business ventures
• Manage multiple projects, deadlines, appointments, and follow-ups simultaneously
• Communicate professionally with employees, managers, vendors, contractors, designers, landlords, consultants, and other business partners
• Communicate directly with manufacturers and suppliers in China regarding sourcing, pricing, samples, production, shipping, and follow-up
• Conduct research, obtain quotes, compare options, negotiate when appropriate, and present clear recommendations
• Track projects from initial discussion through completion and proactively identify delays or unresolved issues
• Assist with restaurant operations and visit business locations as needed
• Organize contracts, invoices, quotes, project documents, design files, photos, and other business records
• Assist with purchasing, sourcing, vendor management, and project coordination
• Manage and assist with content across both U.S. and Chinese social media platforms
• Photograph and film food, restaurant environments, products, events, and behind-the-scenes content
• Assist with short-form video production, photo editing, graphic design, and marketing materials
• Coordinate with outside marketing, design, photography, construction, and professional service providers
• Handle sensitive business and executive information with absolute discretion and confidentiality
• Anticipate needs, identify problems early, and take initiative without waiting to be asked
• Handle additional executive, operational, and project-related responsibilities as needed

Required Qualifications

• Fluent in both Mandarin Chinese and English — speaking, reading, and writing
• Must be legally authorized to work in the United States
• Strong professional English communication skills, including phone calls, emails, meetings, and business correspondence
• Demonstrated professional experience in executive support, operations, project management, hospitality management, marketing, or a related field
• Exceptional organizational and time-management skills
• Strong judgment, problem-solving ability, and attention to detail
• Proven ability to independently manage multiple projects and priorities
• Excellent follow-through — tasks should not require repeated reminders from management
• Comfortable communicating and negotiating with vendors and business partners
• Strong understanding of both Chinese and U.S. business communication styles
• Familiar with Chinese social media platforms, including Xiaohongshu (RED), Douyin, and WeChat
• Familiar with U.S. platforms, including Instagram, TikTok, Facebook, and other major social media channels
• Strong visual sense and understanding of branding and content presentation
• Comfortable with photography and short-form video creation
• Working knowledge of Canva, CapCut, Photoshop, or similar creative tools
• Highly proficient with Google Workspace, Microsoft Office, spreadsheets, PDFs, cloud storage, and modern productivity tools
• Comfortable learning and using AI tools to improve efficiency
• Valid driver's license and reliable transportation
• Able to travel locally between business locations and project sites as needed
• Professional, dependable, discreet, and trustworthy

Preferred Qualifications

• 5+ years of relevant professional experience
• Previous experience supporting a business owner, founder, executive, or senior management team
• Experience managing multiple business locations or projects
• Restaurant, hospitality, retail, or multi-unit operations experience
• Experience working with suppliers or manufacturers in China
• Purchasing, sourcing, procurement, or vendor-management experience
• Social media, photography, videography, graphic design, or content-creation experience
• Experience coordinating construction, restaurant openings, branding projects, or new business launches
• Strong negotiation skills
• Experience working in a fast-paced entrepreneurial or privately owned business environment

What Success Looks Like in This Role

We are not looking for someone who simply waits for assignments.

We are looking for someone who can be told:

“Please take care of this.”

And then independently determine the next steps, contact the right people, research the options, follow up, solve problems, and return with a completed result or a clear recommendation.

You should naturally notice what needs attention, keep track of unfinished items, and proactively move projects forward.

The goal of this position is to significantly reduce the owner's day-to-day administrative and operational workload.

Compensation

$130,000–$150,000 per year

Final compensation will be based on experience, capabilities, and overall fit for the position.

This is a full-time, high-responsibility position. Schedule flexibility may occasionally be required based on business and project needs.

Relocation Assistance

We welcome qualified candidates from outside the San Antonio area.

For an exceptional candidate who is willing to relocate to San Antonio, temporary housing may be provided for up to three months to assist with the transition.

The employee will be responsible for securing their own long-term housing following the temporary relocation period.

Work Authorization

Candidates must be legally authorized to work in the United States.
