INTRODUCTION
The Operation & Business Coordinator provides comprehensive administrative and operational support to the Plant Manager. This role is responsible for managing the Plant Manager’s schedule, coordinating leadership meetings, overseeing logistics for site visits, organizing communication flow, and ensuring daily priorities are executed efficiently. The ideal candidate is highly organized, proactive, technologically proficient, and experienced in supporting senior leadership within a manufacturing or industrial environment.
ROLE AND RESPONSIBILITIES
- Manage the Plant Manager’s calendar, including complex scheduling, prioritization of meetings, and coordination across functions and locations.
- Serve as the primary point of contact for internal and external communications, organizing and prioritizing correspondence to support effective decision‑making.
- Coordinate leadership meetings by preparing agendas, presentations, and supporting materials, as well as documenting action items and follow‑ups.
- Plan and execute logistics for site visits, plant tours, leadership meetings, and external visitors, including travel arrangements, meeting spaces, and on‑site coordination.
- Track commitments, deadlines, and action items on behalf of the Plant Manager to ensure timely execution.
- Maintain organized and accurate records, files, and documentation in support of operational and leadership activities.
- Support a digital‑first work environment by utilizing and improving existing tools and workflows.
- Handle sensitive and confidential information with professionalism and discretion.

BASIC QUALIFICATIONS
Professional Experience
- Minimum of ten years of experience providing executive‑level administrative support, preferably in manufacturing, supply chain, operations, or industrial environments.
- Proven experience supporting senior or executive leaders, including advanced calendar and inbox management.
- Demonstrated success coordinating executive logistics, travel, meetings, and on‑site visits.
- Experience preparing executive‑level materials, presentations, and meeting documentation.
Technical and Organizational Skills
- High level of proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint.
- Experience with calendar management tools, virtual meeting platforms, and document collaboration systems.
- Strong organizational and data management skills, with the ability to maintain accurate records and digital files.
- Comfortable learning new technologies and improving administrative workflows.
- Ability to troubleshoot basic technical issues in a professional office environment.
