TransCore (TRN), a subsidiary of ST Engineering, is seeking a full-time HR Assistant to join our team.
Job Summary: The HR Assistant provides administrative support to the Human Resources function, including HRIS administration and staffing/employment activities. This role maintains accurate and organized employee files, inputs and verifies employee data in the Human Resources Information System (HRIS), and processes various forms related to HR activities such as new hires, job requisitions, status changes, and terminations. Strong attention to detail and organizational skills are critical to success in this role.
Work Arrangement: It is a hybrid role. The selected candidate is required to be in the office in alignment with the team's schedule and the business needs.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Supports recruiting efforts, including posting job requisitions, monitoring applicant flow, and screening resumes/applications.
- Facilitates the full new hire and onboarding process, including preparing and sending offer letters, coordinating background checks and drug screens, processing new hire paperwork.
- Completes I-9 employment eligibility verifications in compliance with federal requirements, including timely documentation review and processing.
- Supports the termination process by distributing required documentation to managers and employees, confirming termination details, and processing transactions in HRIS.
- Maintains employee personnel files and ensures accuracy and confidentiality of employee records.
- Enters, audits, and maintains employee data within the HRIS, ensuring data integrity and timely updates.
- Processes employee status changes, job changes, and other HR-related forms submitted by managers.
- Supports compliance with federal, state, and local employment laws by ensuring HR processes and documentation align with established policies.
- Compiles HR-related data and assists in preparing reports.
- Consults with higher-level HR staff on matters outside the scope of the role, including complex employee relations, legal issues, or organizational changes.
Education:
- High school diploma or general education degree (GED) required.
- Associate degree preferred.
Required Skills & Experience:
- Minimum of 2 years of related HR or administrative experience
- Strong attention to detail and organizational skills
- Effective verbal and written communication skills
- Excellent time management and prioritization abilities
- Ability to maintain strict confidentiality of sensitive employee information
- Strong work ethic and reliability
- Ability to adapt to changing priorities and business needs
- Ability to work independently on routine assignments with limited supervision on new tasks
- Ability to manage multiple priorities and handle stressful situations in a professional manner
Desired Skills & Experience:
- HR certification (e.g., SHRM or PHR)
- Experience with UltiPro/UKG or similar HRIS platforms
Skill: Applies acquired job skills and company policies and procedures to complete assigned tasks.
Job Complexity: Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.
Supervision: Normally follows established procedures on routine work, requires instructions only on new assignments.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
