We are seeking a reliable, detail-oriented Office & Payroll Administrator to support day-to-day office operations and assist with accurate and timely payroll administration. The ideal candidate is organized, responsive, discreet, and comfortable working in the fast-paced skilled trades environment.
Key Responsibilities
Administrative
- Support day-to-day office operations and help ensure the office and field teams have the resources needed to operate efficiently
- Assist Area Fields HR with new hire onboarding and offboarding practices, including managing company property (distribution and collection); ordering uniforms, company tours; ProSkill welcome packets
- Maintain organized employee, payroll, office, and operational records while protecting confidential information
- Assist with Accounts Payable, Accounts Receivable, invoicing, and other general financial or administrative tasks as assigned
- Coordinate office supplies, uniforms, inventory, vendors, and other administrative needs
- Support managers and employees with routine administrative questions and requests
- Assist with planning and coordinating internal meetings, company events, networking events, trade shows, and other business activities
Payroll
- Assist with the preparation and processing of weekly payroll
- Work with managers to review employee timecards and timesheets for accuracy and completeness before payroll deadlines
- Review technician job tickets, commissions, bonuses, spiffs, and other variable compensation information for completeness and accuracy
- Assist with entering, reviewing, and validating payroll-related information in ADP
- Help identify missing, incomplete, or inconsistent payroll information and follow up with managers for corrections
- Respond to routine employee payroll questions and escalate payroll discrepancies or complex issues to the appropriate Payroll or Area Field HR
- Maintain payroll documentation and records in accordance with company procedures and confidentiality requirements
- Support compliance with company payroll procedures and applicable federal, state, and local wage-and-hour requirements
Marketing
- Partner with Home Office Marketing Team to support local marketing and Brand initiatives
- Assist with social media engagement, employee participation, and local content opportunities
- Help coordinate promotional events, community outreach, trade shows, and networking activities
- Assist with organizing marketing materials, branded items, signage, and other promotional supplies
- Support local campaigns and company initiatives designed to increase Brand awareness and community presence
Employee Engagement
- Coordinate employee recognition programs, including birthdays, anniversaries, milestones, and other celebrations
- Assist with employee retention and engagement initiatives
- Plan and coordinate team-building activities, employee appreciation events, holiday celebrations, and inter-office gatherings
- Support internal employee communications and help promote company events and initiatives
- Serve as a positive point of contact for employees and help create a welcoming, organized office environment
- Partner with managers and HR on activities that support employee morale, culture, and engagement
Qualifications
- 2+ years of payroll administration, payroll processing support, or closely related experience preferred.
- 4+ years of office administration or related administrative experience preferred.
- Experience with ADP, Paylocity, Paychex, or a similar payroll/timekeeping system.
- Working knowledge of payroll practices, timekeeping, overtime, deductions, and wage-and-hour requirements; Arizona payroll experience is a plus.
- Proficiency in Microsoft Excel and the ability to work accurately with calculations, reports, and payroll data.

- Strong customer-service mindset and ability to work collaboratively with managers, employees, HR, Payroll, Benefits, and other support teams
- Ability to understand, calculate, and explain payroll-related figures and basic financial information.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
