Purpose of the Role
The Project Administrator plays a key role in supporting construction project operations by managing documentation, ensuring compliance, and facilitating communication among clients and subcontractors. This position works closely with the Project Manager, Superintendent, Project Engineer, Job Cost Accountant, and other team members to support the full lifecycle of each project. The role involves coordinating subcontracts and change order processing, assisting with project documentation, and maintaining accurate project records. Work may be performed in the main office or at project sites, depending on project needs.
Duties and Responsibilities
- Responsible for timely contract administration of all jobs, including but not limited to preparation and distribution of subcontract agreements, owner agreements, and securing signed contracts from appropriate parties.
- Manage subcontractor and vendor compliance, ensuring required documentation is received, accurate, and up to date; follow up directly with subcontractors to obtain corrections or additional information needed to support timely payment.
- Review for accuracy and process all change orders including subcontract and owner change orders ensuring proper documentation, distribution, and receipt of signed approvals.
- Build and maintain strong, customer-focused relationships with clients, subcontractors, vendors, and internal project teams.
- In office required for a minimum of one (1) year, prior to working remotely or on a jobsite.
- Create, edit, proofread, and format high-quality project documents.
- Demonstrate strong organizational, prioritization, and adaptability skills in a project environment with the ability to work on multiple projects simultaneously.
- Understanding of construction terminology is preferred.
- Familiarity with contract type(s) is preferred.
- Perform additional tasks or responsibilities as assigned by the Construction Manager or Project Manager.
- May be required to work overtime as needed.
Skills, Knowledge, Qualifications, & Experience
- The Project Administrator position requires the individual to have a minimum of two years’ experience in working in a similar capacity for another general contractor or subcontractor.
- Proficient in Microsoft Office and Bluebeam.
- Experience with CMiC, Docusign, and Catina (AIA) documents preferred.
- Colorado Notary commission to be obtained after hire.
Physical Demands
The following are some of the physical demands commonly associated with this position:
- Spends approximately 70% of the time sitting, and 30% of the time either standing or walking while on the job.
- Occasionally lifts up to 50 lbs, when moving project binders, office supplies or files, and may stoop, kneel, crouch, and balance while performing these same functions.
- Occasionally required to climb, crawl, stoop and negotiate ladders, stairs or other routes at and within project sites in order to fulfill duties.
- Constantly uses verbal and auditory capacity enabling interpersonal communication as well as communication through automated devices such as E-Mail, telephone and radio.
- Constantly employs eye, hand and finger coordination enabling the use of office machinery such as computer keyboard.
- Constantly utilizes full scope of visual capacity to travel to project sites and observe/verify project progress in addition to operating automated office equipment.
