About the Role
What you will do
- Prepare accurate quotes by gathering customer requirements, obtaining vendor pricing and lead times, verifying specifications and quantities, and applying approved pricing and terms.
- Coordinate purchasing, including purchase orders, vendor acknowledgments, delivery tracking and resolution of pricing or order discrepancies.
- Check customer purchase orders against quotes and coordinate materials, documentation and handoffs with service and project teams.
- Maintain accurate customer records, opportunities, quote versions, activities and next steps in the CRM.
- Follow up on open quotes, customer decisions, vendor responses and outstanding commitments through completion.
- Keep customers, vendors and sales representatives informed of status, delays and required actions.
- Review product information and customer requirements, identify missing details and coordinate technical questions with the appropriate salesperson or technical resource.
- Provide complete order, shipping and receiving documentation to accounting to support accurate billing.
What We Are Looking For
- Experience in inside sales, purchasing, customer service, order management or technical sales support.
- Strong attention to detail when working with specifications, part numbers, quantities, pricing and delivery requirements.
- Excellent organizational skills and the ability to manage several quotes and orders at different stages.
- Initiative to identify missing information, resolve routine issues and move work forward independently.
- Reliable follow-through and sound judgment about when to ask questions or escalate an issue.
- Clear, professional written and verbal communication with customers, vendors and coworkers.
- Comfort using CRM systems, Excel and other business software.
- Willingness to learn technical products and how customers use them.
Experience That Would be Especially Helpful
- An engineering-related background, technical education, or experience supporting engineering teams.
- Understanding of process flows and how equipment works together within a system.
- Familiarity with process flow diagrams, piping and instrumentation diagrams, equipment drawings, or technical specifications.
- Experience with pumps, instrumentation, chemical feed systems, controls, or water and wastewater equipment.
- Experience coordinating technical submittals or vendor documentation.
