Position Summary
MAP Restaurant Supplies is seeking a highly organized, detail-oriented and responsive Sales Support & Estimating Coordinator to support our sales team throughout the quoting, order-management and delivery process.
This individual will serve as an important connection between sales, customers, manufacturers, manufacturer representatives, purchasing, operations and the warehouse. The position will be responsible for gathering product and freight information, preparing quotations, tracking orders, maintaining accurate documentation and ensuring the sales team and customers receive timely updates.
The ideal candidate will have experience in sales support, inside sales, purchasing, order management, customer service or project coordination.
Previous experience with commercial foodservice equipment, AutoQuotes, DDI (our ERP System), project drawings or equipment estimating is a major advantage but is not required. Candidates with strong organizational and customer-service skills who are willing to learn the foodservice-equipment industry are encouraged to apply.
Primary Responsibilities: Sales and Order Support
- Obtain and communicate estimated ship dates, estimated delivery dates and current product lead times.
- Monitor open orders and provide timely backorder updates.
- Follow up with manufacturers and manufacturer representatives regarding pricing, availability, lead times and order status.
- Obtain tracking numbers, shipping documentation and proof of delivery for drop shipments.
- Enter and maintain accurate notes, tracking information and shipping updates in DDI.
- Prepare product quotations and revisions in support of the sales team.
- Obtain freight quotations for customer orders and project opportunities.
- Review order information for completeness and accuracy.
- Identify potential delays, discrepancies or customer-service issues and communicate them promptly.
- Assist sales representatives with customer requests, vendor communication and order-related problem-solving.
- Maintain organized electronic records of quotations, pricing, order documentation and vendor correspondence.
- Help ensure that sales representatives and customers receive accurate, timely and professional updates.
- Coordinate with purchasing, operations and warehouse personnel as orders move from placement through delivery.
- Participate in sales and project-status meetings as requested.
- Assist with other sales-support and project-coordination responsibilities as needed.
Estimating Responsibilities
Candidates with relevant experience may also be responsible for:
- Reviewing project drawings, equipment schedules, specifications and bid packages.
- Preparing detailed commercial equipment and smallwares quotations.
- Entering and maintaining project quotations in AutoQuotes or other company systems.
- Working with manufacturers and representatives to obtain current pricing, project discounts, freight estimates and product information.
- Comparing quoted equipment against project specifications and schedules.
- Identifying missing items, scope gaps, unclear requirements and potential conflicts within bid documents.
- Preparing substitutions and suggesting value-engineering options when appropriate.
- Supporting the sales team with accurate and timely bid and quotation turnaround.
- Coordinating quotation revisions, addenda and change orders.
- Confirming equipment availability and lead times during the bidding and purchasing process.
- Assisting with project handoff to purchasing and operations after an order or project is awarded.
- Maintaining organized records of estimates, drawings, specifications, pricing and vendor communications.
- Following MAP’s internal pricing, approval and quotation-review procedures.
Qualifications
- Two or more years of experience in sales support, inside sales, order management, purchasing, customer service, project coordination or a related position is preferred.
- Commercial foodservice-equipment experience is strongly preferred but not required.
- Experience working for an equipment dealer, manufacturer, manufacturer representative, distributor or construction-related company is a plus.
- Experience preparing product or project quotations is preferred.
- Experience with AutoQuotes is a significant advantage.
- Experience with DDI or another ERP or order-management system is a significant advantage.
- Ability to review equipment schedules, project drawings and specifications is a plus.
- Proficiency in Microsoft Outlook, Word and Excel.
- High school diploma or equivalent required; additional education or industry training is a plus.

Compensation
The annual salary range for this position is $55,000–$75,000, based on the candidate’s experience, skills and qualifications.
Candidates with direct commercial foodservice-equipment experience, AutoQuotes proficiency, DDI experience and the ability to independently review bid documents and prepare accurate estimates may qualify for the upper portion of the range.
This position is also eligible for an annual performance bonus based on factors such as:
- Accuracy and completeness of quotations and order information.
- Timeliness of customer and sales-team updates.
- Quality and consistency of DDI documentation.
- Quote turnaround time.
- Vendor follow-up and problem resolution.
- Responsiveness, teamwork and overall job performance.

Work Location and Schedule
This is a full-time, in-office position based at MAP Restaurant Supplies inNewark, New Jersey.
The regular schedule is Monday through Friday during standard business hours. This position requires regular interaction with the sales, purchasing, operations and warehouse teams.
