Position Overview
Madison-Davis is seeking a detail-oriented Billing Specialist to join our operations team in Westchester. This person will be responsible for managing the billing process for our temporary staffing and consulting business, ensuring that hours, rates, invoices, and client requirements are handled accurately and on time. This is an excellent opportunity for someone with prior billing experience who enjoys working in a fast-paced environment and can communicate effectively with recruiters, sales professionals, payroll, consultants, and clients.
Responsibilities
- Review and process weekly timesheets and billing information
- Prepare and distribute accurate client invoices
- Confirm billing rates, purchase orders, project codes, and client-specific requirements
- Enter and maintain billing information within internal systems and client portals
- Identify and resolve missing hours, rate discrepancies, rejected invoices, and other billing issues
- Coordinate closely with payroll, recruiting, sales, and accounting teams
- Maintain organized billing records and supporting documentation
- Assist with invoice reconciliations, reporting, and outstanding billing questions
- Communicate professionally with clients and internal stakeholders
- Help improve billing processes as the company continues to grow
Qualifications
- Previous professional billing experience is required
- Experience within staffing, consulting, professional services, or another high-volume billing environment is strongly preferred
- Strong attention to detail and ability to work accurately with numbers
- Comfortable managing multiple deadlines and priorities
- Proficiency with Microsoft Excel and billing or accounting systems
- Strong written and verbal communication skills
- Reliable, organized, and comfortable taking ownership of problems through resolution
