The Proposal and/or Marketing Coordinator will report to the Proposal Manager and work closely with and support the estimating team. JOB TITLE: Proposal and/or Marketing Coordinator

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Proposal & Marketing Coordinator supports Thalle Construction’s Proposal, Business Development, and Estimating teams, collaborating with staff at all levels in a dynamic environment. This role requires flexibility, strong organizational skills, resourcefulness, and a high level of professionalism and confidentiality.
- Partner with the Proposal Department to create, refine, and format high-quality marketing materials for project pursuits and proposal submissions.
- Support development and execution of marketing strategies that strengthen brand visibility and market presence.
- Assist with the creation of internal and external communications, including newsletters, announcements, and social media content.
- Maintain and update the company’s resume libraries, ensuring all employee profiles accurately represent current skills, certifications, and experience.
- Manage, organize, and continuously improve the company’s project history database to ensure information is comprehensive, current, and easily accessible.
- Coordinate the preparation and distribution of marketing materials for conferences, trade shows, and industry events, including brochures, presentations, and promotional items.
- Assist with planning and facilitating company events—both internal and external—to support employee engagement and strengthen client relationships.
- Provide administrative support to the Proposal Department, including document coordination, formatting, and quality control.
- Schedule appointments, prepare agendas, and maintain meeting minutes for Business Development and Marketing meetings.
- Manage multiple concurrent projects while meeting deadlines and maintaining accuracy.
- Ability to travel 1–2 times per month for events, meetings, or project needs.
- Conduct all business activities with uncompromising integrity and professionalism.
EDUCATION AND/OR WORK EXPERIENCE REQUIREMENTS:
- Associate’s degree in Marketing, Business, English, Journalism, Graphic Design, or a related field; or 1–2 years of relevant professional experience.
- Experience with Adobe Creative Cloud applications—InDesign, Photoshop, Acrobat, and Illustrator—with a strong understanding of graphic design principles and standards is highly preferred.
- Demonstrated ability in technical writing is a plus.
- Experience in the architecture, engineering, and construction (A/E/C) industry is a plus.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills required.
- Proven ability to build strong, collaborative working relationships at all organizational levels.
- Exceptional organizational skills, with the ability to manage multiple tasks and meet tight deadlines.
- Strong attention to detail and commitment to accuracy.
- Must have reliable transportation.
- Willingness and ability to learn new software applications and tools.
- Ability to interpret and follow instructions presented in written, verbal, or diagram form.
Physical Requirements:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
- Must be able to lift and carry up to 50 lbs.
- Must be able to talk, listen and speak clearly on telephone.
