HVAC Installation Operations Coordinator

Pay: $20.00-$27.00 per hour
TNT HeatingAir has served North and South Carolina for more than 36 years. As we continue to grow, we are looking for an organized and dependable HVAC Installation Operations Coordinator to help manage the process from completed sale through installation and job close-out.
This position works closely with sales, installers, customers, vendors, and office staff to make sure jobs are properly prepared, scheduled, completed, and ready for billing.
Responsibilities
- Schedule residential and light commercial HVAC installations
- Review sold jobs for equipment, accessories, ductwork, electrical needs, zoning, and other project details
- Confirm equipment and materials are ordered and available before installation
- Coordinate permits and inspections when required
- Enter and maintain accurate job information in ServiceTitan
- Communicate job scope, special requirements, and schedule changes with installation crews
- Confirm installation dates and expectations with customers
- Handle reschedules, delays, and customer questions professionally
- Coordinate equipment and material orders with vendors
- Track deliveries and help ensure jobs are ready before crews are dispatched
- Review completed job paperwork, photos, and documentation
- Assist with change orders, job costing, invoicing, and billing preparation
- Help monitor scheduling efficiency, delays, reschedules, and installation-related KPIs

- HVAC equipment, accessories, ductwork, and zoning
- Supporting sales and installation departments
- Trade-industry leadership or coordination
ServiceTitan experience is strongly preferred. Experience with QuickBooks, Microsoft Office, or Google Workspace is also helpful.
Requirements
- Valid driver's license and insurable driving record
- Strong verbal and written communication skills
- HVAC or trade-industry experience preferred
- Previous permitting and inspection coordination experience preferred
- Job costing experience preferred
- Familiarity with HVAC codes is a plus
