Job Title: Mortgage Operations Specialist II
Reports To: Mortgage/Consumer Loan Operations Manager
Supervises: None
Division: Loan Operations
FLSA Classification: Non-Exempt
Pay Rate: Hourly
Position Purpose: The Mortgage Operations Specialist II supports the end-to-end mortgage lending workflow from application and initial disclosures through underwriting, closing, funding, and post-closing. This position coordinates borrowers, lenders, title companies, attorneys, insurers, investors, and internal partners, maintains accurate and complete loan files, and helps loans move through the pipeline within required service, quality, investor, and regulatory timelines. This role also supports shared Loan Operations responsibilities and serves as a resource for less experienced team members.
Job Requirements
Education: High school diploma or equivalent required.
Experience: At least three (3) years of mortgage lending, loan processing, and/or closely related loan operations experience required. Prior mortgage closing experience is strongly preferred.
Skills: Proficiency with Microsoft programs such as Outlook, Word, and Excel; proficiency with Adobe Acrobat Pro and Docusign; ability to learn Bank, loan origination, and investor systems; strong organization, prioritization, and time-management skills, with the ability to manage multiple files and meet firm deadlines; consistent attention to detail, accuracy, sound judgment, and analytical thinking skills; excellent written and verbal communication skills with a professional, service-oriented approach; ability to work independently, collaborate across functions, adapt to changing priorities, and resolve routine issues within established guidelines; ability to type at least 40 words per minute.

- Prepare initial disclosures for applicable loan types within required regulatory timeframes.
- Compile, review, and organize borrower and loan documentation for underwriting submission; identify missing or inconsistent information and coordinate timely resolution.
- Order, track, receive, and appropriately review third-party documentation, including title, appraisal, property and flood insurance, and other required items.
- Register secondary market loans in applicable investor systems and support each file through approval in accordance with investor requirements.
- Work with lenders, borrowers, underwriters, and other parties to clear conditions and obtain documentation needed for timely loan approval.
- Perform basic analysis of financial information as needed to support underwriting and loan decision processes.
Pipeline and Customer Coordination Expectations
- Manage assigned loans in process and continually monitor status, deadlines, and outstanding items to support expected closing dates.
- Communicate directly with borrowers on the lender's behalf to obtain documentation and provide clear status updates throughout the process.
- Coordinate with lenders, borrowers, title companies, attorneys, Realtors, insurance agents, processors, underwriters, and investors regarding changes, requirements, or issues affecting approval or closing.
- Maintain accurate notes, documentation, and system data while providing responsive, professional customer service.
Closing and Funding Expectations
- Prepare complete and accurate closing packages for applicable loan types in accordance with Bank guidelines, loan approval terms, and secondary market commitments and requirements.
- Coordinate the pre-closing review of loan file documents and data before issuing the Closing Disclosure and final loan documents, including review of title work, appraisal, underwriting conditions, and property and flood insurance.
- Complete disbursement procedures for funds issued to the title company, borrower, or payoff recipients.
- Ensure approved loans move through closing and funding in a timely manner and that completed Bank and investor files are prepared for internal archival.
Post-Closing and Operational Support Expectations
- Respond to investor post-closing deficiency requests and coordinate corrections needed to support timely loan funding or purchase.
- Clear exceptions identified through internal post-close review and deliver required loan documentation to third parties for pre-closing and post-closing quality-control review.
- Complete assigned construction draw monitoring and construction conversion activities.
- Support shared Loan Operations responsibilities, including wire and check verifications, construction draw requests, lender support, and department communications via various communication methods including email and telephone.
- Recommend process improvements and complete other related administrative or operational duties as assigned.
- Provide guidance and training to less experienced team members as needed.
Compliance/Other Expectations
- Remain trained and knowledgeable in applicable mortgage lending and Bank compliance requirements, including TRID, Regulation Z, RESPA, Fair Lending, Flood, BSA, and OFAC requirements.
- Follow Bank policies, procedures, internal controls, approval requirements, and applicable laws and regulations.
- Protect confidential customer and Bank information and promptly escalate material documentation, compliance, fraud, or operational concerns to the appropriate parties.
- Maintain working knowledge of internal loan guidelines, secondary market requirements, regulatory developments, and process changes.
- Other duties as assigned.
