JOB DESCRIPTION
The Administrative Assistant provides support to daily office operations and HR functions. This role ensures smooth administrative workflow, delivers excellent internal customer service, and assists with key HR processes such as onboarding, recordkeeping, and employee communication. The ideal candidate is organized, proactive, detail‑oriented, enjoys helping others, and is comfortable handling confidential information. The Administrative Assistant ensures the office runs efficiently and provides reliable support to staff, leadership, and visitors.
KEY RESPONSIBILITIES
Administrative & Office Support
- Answer and route phone calls, emails, and inquiries promptly and professionally.
- Serve as the first point of contact for visitors to office site, manage visitor registration system and tracking.
- Assist with travel arrangements and expense reimbursements.
- Support meeting logistics, including conference room management, room setup and materials.
- Generate weekly reporting.
- Assist with project coordination and follow‑up on action items.
- Support internal communications and company events.
- Support general office organization and maintain office supplies.
Human Resources Support
- Assist with recruitment activities, including pre‑interview screening and scheduling interviews.
- Assist with new‑hire onboarding activities, prepare materials, and ensure completion of required documentation.
- Track and update information across systems, ensuring employee records and hiring data remain current and organized.
- Maintain accurate and confidential employee records, both digital and physical.
- Help plan employee engagement activities, trainings, and company events.
- Ensure compliance with company policies and assist with policy updates.
QUALIFICATIONS
- 2+ years of administrative experience required; HR support experience preferred.
- Strong organizational and time‑management skills with the ability to prioritize tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to handle sensitive information with discretion and professionalism.
- Strong interpersonal skills and a customer‑service mindset.
- Comfort with learning new software and office tools.
- Familiarity with Workday preferred.
SALARY RANGE:
$50,600.00-$67,500.00
