This is not a basic data-entry or receptionist role. This position is a direct pathway into an Office / Operations Manager leadership role. What You'll Do
Working directly alongside the General Manager and our established office administrator, you will streamline our field and administrative workflows. Your responsibilities will include:
- Service Fusion Launch & Optimization: You will hit the ground running exactly as our new Service Fusion platform goes live. Rather than wasting time learning a legacy scheduling system, you will step right into our future state—owning the live rollout, troubleshooting initial "snafus," and working with the field team to refine dispatch grids.
- Modern Estimating & Pipeline Management: Coordinate our modernized estimating pipeline entirely inside Service Fusion. You will assist our field managers to synthesize field notes, incorporate their work in custom Excel models, leverage AI tools to polish professional project scopes, and send/track all customer estimates directly through the Service Fusion platform.
- Financial Data Management: Oversee invoicing and financial data syncing between Service Fusion and our core accounting system, QuickBooks Desktop Enterprise, while helping evaluate a future migration to QuickBooks Online.
- Logistics & Dispatch Coordination: Strategically manage, schedule, and dispatch our team of field electricians to maximize productivity and customer satisfaction and respond dynamically to client needs.
- Permitting Ownership: Lead the end-to-end permitting process across Southwest Florida municipalities (including Naples, Collier County, and Lee County), ensuring smooth processing.

While prior electrical or construction industry knowledge is a plus, it is not required—we will provide deep training on our industry specifics. We are strictly looking for the following core traits:

- Tech-Savvy System Builder: You are highly proficient with modern computer applications and cloud-based systems. Extensive experience with Excel and QuickBooks is required. Prior experience with Service Fusion, Field Edge, ServiceTitan, or similar cloud based Field Service Management (FSM) tools is a massive plus. Open to testing AI to help streamline workflows.
- Logistically Sharp: You have an innate ability to organize schedules, map routes, or coordinate moving clients and appointments efficiently under pressure.
- Strong Communicator: Exceptional professional verbal and written communication skills with the confidence to lead client interactions and manage field personnel. Direct communication proficiency is a must.
- Growth-Minded: Possess a strong track record of taking on increasing responsibility and a desire to manage office operations autonomously.
