Seeking a highly organized and process-driven Marketplace & E-Commerce Operations Coordinator to oversee inventory after it has been photographed and ensure each item successfully moves through the appropriate sales channel.
This position is responsible for managing the workflow between photography, listing, third-party marketplaces, and online auctions.
Once inventory has been photographed, the Marketplace & E-Commerce Operations Coordinator will review the photos and item information, verify or improve titles and descriptions, determine the appropriate sales channel based on company guidelines, and ensure the item is properly listed.
The position will work across multiple platforms, including eBay, Facebook Marketplace, online auction platforms, and other third-party marketplaces.
A key responsibility of this position is ensuring that every photographed item has a clear next step and does not become lost, delayed, or overlooked within the sales process.
Primary ResponsibilitiesInventory Intake & Review
- Receive and process newly photographed inventory.
- Review photographs for quality, accuracy, and completeness.
- Review item titles, descriptions, categories, and other listing information.
- Edit AI-generated titles and descriptions when necessary.
- Identify missing information, measurements, photographs, or research needed before an item can be listed.
- Communicate with warehouse and photography staff when additional information is required.
Marketplace Listing Management
- Prepare and publish listings across approved third-party sales platforms.
- Manage listings on platforms such as eBay and Facebook Marketplace.
- Ensure listings contain accurate titles, descriptions, photographs, pricing, categories, and other required information.
- Follow established company guidelines for determining where inventory should initially be sold.
- Monitor active listings and identify items requiring updates, pricing changes, or other action.
- Maintain consistency and quality across selling platforms.
Auction Management
- Identify inventory that should move directly to online auction.
- Prepare items and listing information for upcoming auctions.
- Assist with building and organizing auctions.
- Ensure items designated for auction are transferred into the auction workflow.
- Coordinate with operations staff regarding auction timing and inventory availability.
90-Day Inventory Management
The Coordinator will be responsible for monitoring inventory that has been placed on third-party marketplaces.
Items approaching or exceeding the company's established selling period will be reviewed and moved to the appropriate next sales channel.
Responsibilities include:
- Monitoring the age of active marketplace inventory.
- Identifying items approaching the 90-day threshold.
- Reviewing whether additional marketplace action is appropriate.
- Removing or transitioning expired third-party listings.
- Moving qualifying inventory into an upcoming online auction.
- Ensuring physical inventory and digital records remain synchronized.
The goal is to prevent stagnant inventory and maintain consistent movement through the warehouse.
Workflow Ownership
This position will help manage the following inventory lifecycle:
Photography → Review → Sales Channel Selection → Listing → Marketplace Management → Sale or Auction
The Coordinator is responsible for identifying items that become stalled anywhere within this process and helping determine the appropriate next action.
This includes regularly answering:
- Has everything photographed been reviewed?
- Has everything approved been listed?
- Where is each item currently being offered for sale?
- How long has the item been listed?
- Does the listing require an adjustment?
- Has the item reached its 90-day threshold?
- Does the item need to move to auction?
- Are there items within the system that do not currently have a next step?
Process Development & Improvement
This is not strictly a listing or data-entry position.
Contine to develop its technology, inventory routing, and multi-platform selling processes. The person in this position will be expected to help identify inefficiencies and recommend improvements.
Responsibilities may include:
- Developing repeatable listing procedures.
- Helping create marketplace and auction workflows.
- Identifying bottlenecks between photography and listing.
- Developing methods for tracking listing backlogs.
- Helping improve inventory aging procedures.
- Identifying opportunities for automation.
- Testing new software, AI tools, and marketplace processes.
- Documenting procedures as processes are developed.

Compensation
Starting compensation will depend on the candidate's experience with e-commerce marketplaces, online auctions, inventory management, and process development.
Candidates with significant experience managing eBay, Facebook Marketplace, multi-channel e-commerce, or high-volume online inventory may qualify toward the upper end of the range.
Schedule
This position is expected to begin at approximately 10–12 hours per week.
The schedule can offer some flexibility; however, consistent weekly availability and timely management of inventory will be required.
Additional hours and responsibilities may become available as sales volume increases.
