This role is about partnership. The Marketing assistant & Office Coordinator works closely with the Financial Planner and practice owner to support the operational, marketing, and personal rhythms of a values‑driven financial planning practice. This position is ideal for someone who is highly organized, deeply trustworthy, and energized by helping people thrive—both professionally and personally. You’ll play a meaningful behind‑the‑scenes role in creating an exceptional experience for clients while also supporting the planner’s ability to show up fully for their work, community, and life.
CORE RESPONSIBILITIES:
ADMINISTRATIVE SUPPORT
- Partner with the Financial Planner to manage calendars, meetings, and daily workflow
- Prepare, organize, and edit correspondence, client-facing materials, and internal documents
- Coordinate travel, track expenses, and assist with reimbursement processes
- Serve as a professional, warm point of contact for clients and collaborators
- Maintain clear, organized digital and physical systems so nothing falls through the cracks
- Support ongoing projects and follow up on details to ensure commitments are met
MARKETING & PRACTICE GROWTH SUPPORT:
- Assist with marketing initiatives that communicate the heart and values of the practice
- Coordinate content calendars for emails, social media, newsletters, or website updates
- Help draft, format, and organize client communications and outreach materials
- Maintain CRM data, contact lists, and marketing follow‑ups
- Support planning and logistics for client events, workshops, or community engagement efforts
PERSONAL ASSISTANT SUPPORT
- Manage personal scheduling and reminders for the Financial Planner
- Coordinate personal appointments, travel, or time‑sensitive needs
- Handle personal matters with care and respect
- Provide thoughtful support that helps the Financial Planner stay focused, grounded, and present
