Administrative Assistant – Salt Lake City, UT or Evanston, WY – Full Time
Overview:
The successful candidate for this position must be highly motivated and will provide administrative and office support for Marathon Pipe Line’s (MPL) SLC Area, the SLC Area Manager, and their local staff. The Salt Lake City Area includes offices in Utah, Idaho, and WY. This individual must be self-motivated with strong organizational and interpersonal skills and conduct themselves in a highly professional manner and be able to work in a team environment. Travel required for this position is up to 20%.
Responsibilities:
- Perform general administrative and clerical duties to ensure the efficient operation of the Salt Lake City Area on a day-to-day basis including, but not limited to, mail coordination, copying, scanning/emailing, maintaining office calendar to coordinate workflow and meetings, maintain on-call schedules for the area, monitoring and assisting with maintenance of the Salt Lake City Area’s SharePoint sites, creating and modifying documents such as reports, etc.
- Coordinate travel with other Administrative Assistants as needed for Salt Lake City Area and other Regional personnel, as requested.
- Create, review and process purchase orders and invoices in SAP.
- Prepare staff meeting notes, weekly up-lift summaries, and distribute Area communications on a regular basis.
- Perform meeting, training, and event coordination.
- Assist with EIA (Inventory) reporting weekly and monthly for WY only.
- Act as records coordinator for the Area which includes an understanding of Marathon’s Electronic Records Management (MERM) system in accordance with Company policy.
- Treat confidential information in an appropriate manner.
- The position will compose, transcribe, prepare, proofread routine and confidential documents, maintain and operate office equipment and order supplies as necessary and data entry as appropriate. Maintain inventory of office equipment, PPE, and supplies. This position may also serve as backfill for other Administrative Assistants when needed.
Qualifications
- Candidates must possess a High School Diploma or GED, a preferable minimum 3 years’ experience as an Administrative Assistant, strong organizational skills, excellent keyboarding skills, familiarity with PC-based and mainframe software applications, i.e., Microsoft Office Suite.
- The person must have excellent verbal and written communication skills, ability to set and organize work priorities, excellent time management skills and the ability to work with confidential information.
- The ability to complete work based on specific time restrictions is essential.
- Familiarity with SAP, Windows, Word, Excel, Power Point, TEAMS, SharePoint and the ability to quickly learn and utilize new computer programs is essential.
