The Personal Assistant supports the Founder/CEO with daily administrative tasks, scheduling, coordination, and operational follow-ups to ensure projects and priorities move forward efficiently. This role helps maintain organization across multiple businesses so the CEO can focus on leadership, content creation, and strategic initiatives.
Key Responsibilities
A. Schedule & Time Management
- Manage Josh’s daily calendar and appointments
- Schedule meetings, calls, and content recording sessions
- Coordinate schedules between departments and external partners
- Prepare weekly and monthly calendar overviews
B. Administrative & Task Coordination
- Assist with organizing daily priorities and task lists
- Follow up with team members on assigned tasks and deadlines
- Maintain project trackers in tools such as Notion or ClickUp
- Help organize meeting notes and action items
C. Basic Budget & Expense Tracking
- Track expenses related to content, contractors, and business operations
- Maintain simple budget tracking sheets
- Assist with compiling financial reports and documentation when needed
D. Media & Content Coordination
- Help coordinate scheduling for content shoots and production timelines
- Communicate with editors and media contractors regarding deliverables
- Track basic progress of content projects
E. Operations Support
- Maintain organized files, documents, and SOPs
- Assist with onboarding coordination for new contractors or team members
- Help ensure internal processes are followed and documented
