As the successful Office Manager, you will oversee and coordinate daily office operations to support efficient workflows and exceptional customer service. This role is responsible for maintaining accurate tracking of seed, inventory, labor hours, and shipping activities while helping ensure smooth coordination across the Bushnell Team. The Office Manager will also serve as the HR and Payroll liaison between the employees and the corporate office. The ideal candidate is highly organized, customer-focused, and comfortable working in a fast paced environment.
The job details:
- Greet and direct visitors coming to the greenhouse nursery.
- Prepare and track all plant order forms as well as all shipping documents for the facility.
- Manage select key customer accounts as assigned to create long term customer satisfaction.
- Provide quotes and updates to customers on product & shipping information, process customer orders, adjust orders as needed.
- Increase sales revenue and margin via active inside selling and proactive support to outside Sales Representatives.
- Manage daily shipping and trailer tracking activities, including order fulfillment, prepare paperwork and goods for shipping, and ensure timely delivery meeting customers expectations.
- Maintain integrity of Speedling forms, waivers, agreements, customer information, research and manage customer claims as needed for approval.
- Collect any required customer payments and document properly. Follow up on pending customer balances and update the AR team on updates.
- Oversee receiving & issuing of all seed inventory.
- Close work orders once they have shipped in the system.
- Create purchase requisitions for regular purchases and receive items in ERP system.
- Assist with End of Month Inventory, Budget and Forecast expenses.
- Implement office policies, organize office operations and procedures.
- Update labor tracking and maintain Time and Attendance records.
- Participate on Safety committee and coordinate Safety meetings within facility.
