SUMMARY
The primary purpose of the Sales Support Specialist position is to coordinate, facilitate and support customer account information among sales, mill operations, transportation, and other corporate office functions. In addition, the SSS will assist as needed with daily customer quoting/pricing and AX sales support. Satisfying the customer service needs takes precedence over all other responsibilities to ensure compliance with all applicable legal and regulatory requirements in accordance with established company policies and procedures while maintaining the highest levels of safety, quality, and productivity. This position requires an individual who enjoys a high energy, high output work environment and thrives on teamwork.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Perform all tasks safely and efficiently.

Provides sales coordination, administration, and support for the sales group and as needed functions as a liaison between other field sales, customer service, R&D, transportation, procurement, and internal operations. Operates with a simple understanding of the industry, commodity markets and how it relates to our business.

Support the Sales & Customer Support Managers by acting as a Subject Matter Expert in the Customer Support roles & functions.

Daily and/or weekly management for administration facilitation around credit, contract management, and deductions.

Works closely with Corporate Finance, Sales Representatives, and the Customer Support Team to facilitate the resolution of outstanding billing discrepancies and deductions.

Complete all new customer account set-up and maintain Sales Demographics on Customer Profiles in AX.

Collaborate cross-functionally with Management, Sales & Marketing, R&D, Operations, QA, Transportation, and Finance to create enterprise customer awareness and deliver relevant, timely, and profitable customer solutions that create and optimize value.

Will support existing contracts including rollovers, cancellations, maintaining contract balances (debits/credits), databases and reports (shipped not invoiced, not applied contracts).

Communicates customer contract balances to customers via phone, fax, or email at intervals dictated by customer’s needs. (i.e., Daily, or semi-weekly).

Coordinate participation and logistics for Bay State Milling’s attendance at trade shows.

Field customer inquiries that are received through our company website. If inquiry meets criteria to have a Sales Rep take ownership, begin Lead in Monday.com.

Collaborate with Sales Reps and VSBU on new customer opportunities.

As needed, will process new Wheat Flour contracts, including hedging and administration of the contract, for accounts by direction from Management or Sales Rep.

Will create booked contracts for Seeds & Grain products while working with the Sales Reps and Procurement Team to ensure adequate coverage for the period.

In the presence of resource constraints and limitations, support the Customer Support Team with order entry and customer correspondence as needed during heavy volumes and covering staff on PTO.

Performs a broad base of duties and manages a widely fluctuating workload. This position requires a high level of professionalism due to its high visibility and daily contact with customers, sales, mill office, and production personnel.

Primarily, taken care of on one shift; however, extra hours are put in as the need arises.
